About the Role
We are seeking a People & Culture Coordinator to support the People & Culture function in the day-to-day delivery of people operations. This role provides administrative and coordination support across the employee lifecycle, HR processes, recruitment, onboarding, performance, training, reporting, and employee engagement.
The successful candidate will play an important role in ensuring People & Culture processes are delivered smoothly, accurately, and on time while supporting a positive employee experience.
Key Responsibilities
Employee Lifecycle & Onboarding
- Coordinate end-to-end onboarding, including background checks, contracts, employee information collection, and system setup.
- Conduct new starter orientations and maintain accurate employee records.
- Coordinate employee transitions, contract changes, role changes, salary adjustments, and probation reviews.
- Prepare employment change documentation as directed.
- Coordinate updates to job descriptions with relevant managers.
HRIS & Employee Records
- Maintain accurate employee information, employment, and leave records within the HRIS.
- Manage routine HRIS workflows and tasks.
- Perform data accuracy checks and assist with resolving system queries.
- Support the implementation of HR workflows and automated tasks.
Recruitment Support
- Assist with recruitment activities, including candidate sourcing, job postings, screening, shortlisting, and psychometric testing.
- Coordinate interviews and maintain clear communication with candidates throughout the recruitment process.
- Conduct background checks and assist with employment contract preparation.
- Coordinate with recruitment agencies and external consultants as required.
Performance & Training
- Provide administrative support for performance management processes and reviews.
- Coordinate performance and calibration cycles within the HRIS.
- Follow up on outstanding performance submissions and prepare relevant documentation.
- Coordinate training sessions, seminars, and other learning initiatives.
HR Administration, Reporting & Employee Engagement
- Maintain accurate and confidential personnel records across HR systems.
- Respond to HR-related queries and escalate matters where appropriate.
- Coordinate with Finance and IT on payroll, onboarding, and offboarding requirements.
- Prepare and submit HR activity reports.
- Monitor compliance deadlines and support employee due diligence requirements.
- Manage the central HR inbox and triage incoming queries.
- Assist with employee feedback and engagement initiatives.
- Coordinate team events, particularly for remote employees.
- Support employee wellbeing initiatives and approved programs.
Offboarding
- Coordinate employee offboarding administration, including resignation check-ins and exit interviews.
- Coordinate with managers regarding employee announcements.
- Liaise with Finance and IT on final pay, equipment collection, and access requirements.
Requirements
- 1–3 years of experience in an HR, People & Culture administration, or coordination role.
- Working knowledge of Australian workplace legislation.
- Experience using an HRIS; HiBob experience is highly regarded.
- Strong attention to detail and excellent organisational skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Proactive and self-motivated, with the ability to work with limited direction.
- Collaborative and comfortable working with different teams and stakeholders.
Desirable Experience
- Experience working in a startup, scaleup, or high-growth environment.
- Background in financial services, fintech, or digital assets.
- Experience coordinating recruitment or onboarding at scale.
- Exposure to offshore or EOR employment arrangements.
- Certificate IV or Bachelor's degree in Human Resources, Business, or a related field.
