Role Purpose 

  • The Accounts Receivable Administrator is responsible for the accurate and timely processing of receivables transactions, maintaining the integrity of the debtor ledger, and supporting effective credit and cash flow management across the business.
  • This role plays a critical part in ensuring payments are correctly allocated, customer accounts remain accurate, and overdue balances are actively managed. It also contributes to data analysis and reporting, leveraging Excel and system data to improve visibility and decision-making.

Key Responsibilities

Receivables Processing and Allocation 

  • Allocate all incoming payments daily, including EFT and card transactions 
  • Ensure receipts are accurately applied against customer accounts 
  • Maintain clear audit trails for all transactions

Bank Reconciliation 

  • Perform daily bank reconciliations 
  • Investigate and resolve discrepancies in a timely manner

Account Management and Collections 

  • Monitor customer accounts and identify overdue balances 
  • Conduct follow up in line with internal processes 
  • Communicate professionally with customers to resolve outstanding invoices 
  • Escalate high risk or non standard issues as required

Reconciliations and Ledger Integrity 

  • Perform regular customer account reconciliations
  • Investigate and resolve variances 
  • Maintain a clean and accurate debtor ledger at all times

Data Analysis and Reporting

  • Use Excel and ERP data to analyse payment trends, account performance, and discrepancies 
  • Prepare reports to support finance and operational decision making
  • Assist in identifying inefficiencies and opportunities for improvement

Shared Services and Administration

  • Manage the accounts inbox and respond to queries in a timely manner 
  • Process refunds, adjustments, and approved write-offs within delegated authority
  • Maintain documentation and audit compliance

Month-End Support 

  • Assist with month end close processes related to accounts receivable 
  • Ensure all allocations and reconciliations are completed accurately and on time

Key Success Measures 

  • Timely and accurate allocation of all payments 
  • Clean and fully reconciled debtor ledger 
  • Reduction in overdue balances and aged debt 
  • Minimal order delays due to account issues High level of data accuracy and reporting reliability

Skills and Experience 

  • Previous experience in accounts receivable or similar role 
  • Advanced Excel capability including pivot tables, lookups, and data manipulation 
  • Strong ERP system experience 
  • Excellent attention to detail and organisational skills 
  • Ability to manage high transaction volumes 
  • Strong communication and stakeholder management skills
