Job Role:
The Receptionist serves as the primary point of contact for patients and visitors and is responsible for delivering efficient front desk support, maintaining accurate patient records, and managing the full insurance claims submission process.
Key Responsibilities:
- Greet and assist patients, visitors, and guests in a professional and courteous manner
- Manage incoming phone calls, schedule appointments, and handle patient inquiries
- Create and update digital patient profiles and ensure all data entered in the system is accurate and complete
- Verify insurance eligibility and coverage before appointments and inform patients of their insurance limitations or requirements
- Process, prepare, and submit insurance claims for physiotherapy and rehabilitation services in a timely and accurate manner
- Follow up with insurance companies to resolve claim denials, delays, or missing documentation
- Ensure accurate billing, coding, and compliance with payer requirements and regulatory standards
- Communicate clearly with patients regarding approvals, denials, pending documents, and any co-payments that may be required
- Generate invoices, collect payments (cash, POS, insurance approvals, transfers), and reconcile financial transactions daily
- Maintain a clean, organized, and professional reception area
- Ensure smooth coordination of patient flow between the reception desk and physiotherapists.
- Assist patients in completing required registration forms and ensure confidential handling of all medical records and personal information
- Work closely with clinical staff to ensure treatment documentation supports insurance claim submissions
- Support management during audits, reporting, and compliance reviews
- Maintain high standards of confidentiality, professional conduct, and patient service at all times
Requirements:
- 2 to 3 years of experience as a receptionist ideally in a medical facility is required
- Secondary School or Diploma preferred
- Strong understanding of insurance processes, claims submissions, and medical billing requirements
- Proficiency in computer systems and clinic management software
- Excellent communication and customer service skills
- Highly organized, detail-oriented, and capable of multitasking in a fast-paced environment
- Professional demeanor and patient-focused attitude
