KRONOS ADMINISTRATOR
  • Ensure the integration of Kronos workflows with SAGE payroll system.
  • Ensure the Kronos system is accessible, data is valid and ready for payroll processing.
  • Ensure employees are setup with a log-on profile to match their primary role. Every user who is required to record shift information.
  • Ensure time and attendance rules are set up correctly in Kronos.
  • Ensure timecards are updated by managers daily.
  • Ensuring and maintaining a good working relationship with all managers.
  • Ensure that all users are competent in using the system and know the systems functionality.
  • Ensure 100% employees are reflecting on Kronos internal and external.
  • Ensure all terminals are running properly.
  • Ensure consistent processes across solution.
  • Deep system knowledge to make process and system changes, including configuration, permissions, etc.

FUNCTIONAL

  • Manage the Time and Attendance tracking outputs (pay codes) in conjunction with Payroll.
  • Manage the Kronos pay-rule overrides.
  • Manage the User Access to Kronos and ensure access approval is according to
  • requirement. Conduct annual user access audit.
  • Implement improvements to the system to make the system more efficient.
  • Participate in Kronos clock maintenance (e.g. biometric that is not taking).
  • Maintain technical environment and employee licencing requirements.
  • Set up payroll extract files.
  • Resolve outstanding leave requests, unapproved overtime, etc. for payroll processing.
  • Tracking of accurate accruals.
  • Investigate and resolve integration failure from Kronos and to SAGE exports.
  • Maintain reporting metrics.
  • Develop and implement Kronos training.
  • Establish Kronos access and approval controls based upon functional roles.
  • Conduct data validation reviews to ensure the accurate controls are in place.
  • Maintenance of the Business Structure in the system.
  • Maintain leave calendar (e.g., union picnic day, concessional leave, etc.).
  • Maintain public holiday calendar annually.
  • Monitor rounding rules policy and its application.
  • Maintain job or shift related allowances (e.g., Speciality allowances, Call- out etc.)
  • Lead and participate in specialist projects related to the optimisation of workforce utilisation.
  • Attend to any system fault reporting, coordinate, and implement corrective actions in a timeous manner.

OPERATIONAL

  • Maintain employee job transfer set to track changes in reporting line.
  • Maintain pay code mapping (e.g., creation of new wage types).
  • Manage thorough testing of system changes in Preview/Test.
  • Provide a user guide for business units and/or develop real time training interactions.
  • Audit Kronos system against number of new hires- Target: Audit Findings to be resolved before Payroll
  • cut-off date.
  • Resolve escalated time tracking queries from the HR and managers Services Team.
  • Export end of pay report to SAGE for payroll processing.
  • Provide Time and Attendance tracking exception reports on a weekly basis.
  • Troubleshooting for Kronos clock terminals (e.g., missing punch, offline, etc.)
  • Provide clock setup and support.
  • Deploy new releases as system doesnt permit to stay on the previous version.
  • Test new releases major or minor.
  • Ensure managers approves timecards and signed off every month.
  • Extract agency hours to Verify will billing received weekly.
  • Escalating incomplete timecards to relevant managers.

MINIMUM REQUIREMENTS

An IT qualification and experience would be advantageous.
Minimum 2 years of related experience.
Demonstrated experience in administering the Kronos function for a
large organisation.
Demonstrate relevant experience in the optimisation of workforce
management practices.
Demonstrate experience in delivering relevant change management with
release changes.
Demonstrate experience working at a high level with an HR Services
team.
Demonstrate ability in supporting the system support team through
change management processes by providing workflow advice.
Experience in building positive organisational workplace culture.
