Job Summary

The Payroll Specialist is responsible for managing and processing payroll for internal employees and outsourced staff/contractors. This role ensures accurate salary computation, statutory compliance, and timely payroll disbursement while supporting finance and HR functions within the recruitment agency.

Key Responsibilities

Payroll Processing

  • Process end-to-end payroll for internal staff and deployed employees (weekly, bi-weekly, or monthly)
  • Ensure accurate calculation of salaries, overtime, commissions, incentives, and deductions
  • Maintain payroll records and employee data in payroll systems

Compliance & Statutory Requirements (Philippines)

  • Ensure compliance with government regulations and labor laws
  • Process and remit statutory contributions:
    • SSS
    • PhilHealth
    • Pag-IBIG
    • Withholding Tax (BIR)
  • Prepare and submit required government reports

Billing & Client Coordination (for Outsourcing)

  • Support preparation of client billing based on deployed staff
  • Reconcile timesheets, attendance, and payroll data
  • Coordinate with clients regarding payroll-related concerns and discrepancies

Data Management & Reporting

  • Generate payroll reports, summaries, and cost analysis
  • Maintain confidentiality and accuracy of payroll data
  • Assist in audits and financial reporting

Employee Support

  • Respond to payroll inquiries (salary, deductions, benefits)
  • Resolve payroll discrepancies in a timely manner

Qualifications

  • Bachelor's degree in Accounting, Finance, HR, or related field
  • Minimum 2–5 years of payroll experience, preferably in a recruitment, BPO, or outsourcing company
  • Strong knowledge of Philippine payroll regulations and statutory contributions
  • Experience with payroll systems (e.g., Sprout, QuickBooks, SAP, or similar)
  • High attention to detail and accuracy
  • Strong analytical and problem-solving skills

Preferred Skills

  • Experience handling high-volume payroll (100+ employees)
  • Knowledge of labor laws and DOLE compliance
  • Advanced Excel skills (pivot tables, formulas)
  • Ability to work under pressure and meet deadlines
