Job Title: Executive Assistant

I. JOB OVERVIEW

The Executive Assistant provides high-level administrative, operational, and strategic support to the Chairman/CEO and Top Management Office. This role requires strong organizational, communication, and coordination skills to ensure efficient daily operations and effective execution of strategic initiatives.

The Executive Assistant serves as a key liaison across departments and external stakeholders, supports decision-making through accurate documentation and follow-up, and represents Top Management when required. The position demands professionalism, discretion, adaptability, and the ability to manage multiple priorities in a fast-paced environment while contributing to the achievement of the companysoverall goals and objectives.

II. MAIN RESPONSIBILITIES

- Provide comprehensive administrative support to Top Management Office, including managing schedules, coordinating and organizing meetings, and ensuring all necessary materials are prepared in advance. Accurately record detailed meeting minutes, highlight key decisions, assigned tasks, and deadlines, and actively follow up with relevant departments or team members to ensure timely execution of action points.

- Support in handling all office administrative tasks, travel and accommodation arrangements, and other related duties as required.

- Act as a bridge between departments, facilitating communication, resolving conflicts, and ensuring seamless collaboration.

- Collaborate with Chairman/CEO to develop and implement strategic plans, ensuring alignment with company goals and objectives.

- Represent Chairman/CEO in high-level meetings with internal and external stakeholders, fostering relationships that support business growth.

- Handle sensitive information with the utmost discretion and ensure data security compliance.

- Perform additional responsibilities as assigned or delegated by Chairman/CEO to advance organizational objectives.

III. JOB REQUIREMENTS

- Bachelors degree in Business Administration, Management, or a related field.

- 3 to 5 years of experience as an Executive Assistant to Top Management.

- Excellent communication and interpersonal abilities, with experience coordinating across departments.

- High level of discretion, professionalism, and adaptability under pressure.

- Strong organizational, strategic thinking, and problem-solving skills.

- Fluent in English and Chinese with strong communication skills — including writing, reading, speaking, and listening.

- Proficient in MS Office and project management tools.

- Willing to travel domestically and internationally as needed.
