About the job Executive Assistant (Remote)
Our client is a digital advertising agency for high consideration products. We help businesses with complex offerings increase their sales by combining the power of algorithms with human empathy, storytelling and style.
Setting the scene:
Now, this is not an ordinary job and we are not looking for ordinary people.
You’ll support the nucleus of our business: working closely with the Chief of Staff in the day-to-day runnings of the agency. This type of work will be very dynamic. You’ll help coordinate meetings, carry out research, event plan, arrange travel itineraries, prepare presentation materials, and assist in the recruitment and hiring process, juggling between all of the above priorities in a flawless fashion.
Basically, if you aren’t excited by multi-tasking your way through the day and adding extra sparkle to a seamlessly operating machine, then this is the wrong job for you.
The role:
Expertly manage and schedule meetings, calls, and activities, ensuring the day runs like clockwork.
Oversee daily operations at Spekk’s brand home ‘Casa Spekk’, whether that’s keeping the place stocked or preparing for the various gatherings.
Take on weird and wonderful research challenges (ranging from finding a flower delivery service in a remote town in Spain to coming up with the next mind-blowing team activities).
Help plan and coordinate trips, including flight and accommodation bookings plus internet and transport logistics.
Create impressive presentation materials, reports, and documentation for meetings and internal purposes.
Support with ever important ongoing recruitment process and contribute with innovative and automation-driven ideas along the way.
Must-have criteria:
EA experience: You’ve got 2+ years of experience as a PA/EA or office manager having previously worked with owners or senior executives of a company.
Exceptional Organization: Highly organized and detail-oriented, able to build schedules, track deliverables, and multitask without letting anything slip through the cracks.
Communication Skills: Clear and confident communicator. Able to share updates and draft emails using right tone and format whether on Slack or email, you are helping to keep everyone aligned and informed.
Tech savvy: To work effectively we use Notion, Slack, Dropbox, Google Drive, Loom, Asana, Dashlane, Xero and more. You don’t need to be an expert in all of these, just that you are a quick learner. Someone who always finds a way. If that scares you, we’re probably not the right fit.
Language Skills: You’re highly proficient in written and spoken English and you have advanced conversational Spanish.
You’ve got at least a Bachelor's degree.
Timings, remuneration & other key details:
Start date: Asap. Full-time remote position, in it for the long run.
Based in Barcelona
Remuneration: 25,000 - 29,000 depending on experience.
Working hours: 9am - 6pm GMT.
