We're looking for a sharp, experienced project manager to act as an air traffic controller for our rapidly growing creative studio, ensuring smooth content production while keeping our team, freelancers, and clients informed, on track, and happy.

About Our Client:

Our client is a digital advertising agency for high consideration products. We help businesses with complex offerings increase their sales by combining the power of algorithms with human empathy, storytelling and style. Our approach combines highly strategic paid media management with a creative studio dedicated to crafting impactful social ads.

Setting the Scene:

It turns out theres strong demand for a creative studio that makes paid social ads that aren't cheap, annoying, or off-brand. So much so that we've had to quickly scale up our small team, which has been consistently punching above it's weight in terms of output. We love making beautiful, effective ads and want to keep growing. But with that comes a bigger need for structure, organisation, and clear communication. That's where you come in.

The Role:

We're looking for a Creative Operations Manager to run our creative studio and its projects with efficiency and finesse. This is a pivotal mid-level role that ensures our creative team produces high-quality social ad content on time and on process, while keeping clients happy and well-informed. You will be the bridge between our creative team, paid media team and our clients, streamlining workflows, implementing new operational processes, and making sure everyone follows them. Key Responsibilities

Support Creative Director: A key part of this role is protecting our Creative Director's time by handling anythingbig or smallthat could distract from high-impact creative work.

Oversee Creative Workflow: Serve as the central traffic point for all creative projects receive incoming requests, assign tasks, and manage the production schedule from kickoff to delivery.

Ownership of Custom Ad Database: We've built a custom Notion database where we collaborate live with clients and manage the entire ad delivery process. You would take ownership of this database, making sure it stays fully up to date at all times.

Project Management: Develop and maintain project plans for each campaign, including timelines, milestones, and deliverables. Continuously monitor progress and ensure all projects stay on track and within scope.

Budget & Time Tracking: Ensure time is tracked accurately and coordinate with the finance team for correct billing. Keep internal project budgets updated and ensure they are followed.

Stakeholder Communication: Act as the day-to-day liaison for internal and external stakeholders. Provide clients with regular updates on project status, manage expectations about timelines or changes, and ensure everyone is on the same page.

Process Design & Implementation: Design and implement new operational processes to improve efficiency (for example, better briefing templates, approval workflows, or asset management systems). Document these processes in Notion and train team members on best practices.

Enforce Operational Excellence: Ensure strict adherence to established processes and workflow guidelines. Proactively remind and coach team members to follow protocols (e.g. file naming conventions, using Asana boards correctly) and address bottlenecks or deviations quickly.

Resource & Traffic Management: Monitor the creative teams workload and adjust assignments as needed to balance capacity. Source, book and manage freelancers to effectively support core team.

Client Satisfaction: Work directly with the client to always understand their needs and deadlines. Ensure deliverables not only meet timing and specs but also that the client feels informed and cared for throughout the process. Address any process-related client concerns promptly and professionally.

Continuous Improvement: After each project, coordinate post-mortems or debriefs with the team to identify what went well and what could be improved in our processes . Use these insights to refine how our creative studio operates over time.

Must-Have Skills

Project Management Expertise: Minimum 3 years of experience in project management, traffic management, or creative operations, preferably in a creative agency or digital content environment. Proven ability to manage complex projects with many moving parts.

Exceptional Organization: Highly organized and detail-oriented, able to build schedules, track deliverables, and multitask without letting anything slip through the cracks.

Communication Skills: Clear and confident communicator. Able to translate creative updates into client-friendly language and vice versa whether on Slack, email, or client calls, you keep everyone aligned and informed.

Client-Focused Mindset: Experience working directly with clients or account teams. You understand how to manage expectations, handle feedback gracefully, and ensure client happiness through proactive service.

Process Orientation: Passionate about process design and enforcement. You've created or improved team workflows before and can spot inefficiencies quickly. Driving adoption of new processes comes naturally to you.

Leadership & Teamwork: Effective at leading meetings and rallying teams around a plan. A collaborative team player who can also hold others accountable to deadlines and standards in a positive way.

Problem Solver under Pressure: Cool-headed and solutions-focused when challenges arise. You can troubleshoot scheduling conflicts, last-minute client requests, or production hiccups without panic and find a path forward.

Tech Savvy: Very comfortable with project management and collaboration tools. You should be a quick learner and preferably have advanced proficiency in Notion and/or Asana (or be excited to pick them up quickly if you havent used them in the past).

Remote Collaboration: Experience working in remote or distributed teams. You know how to keep remote teammates engaged, informed, and coordinated despite not sharing an office.

Nice-to-Have Skills

Paid Social Knowledge: Familiarity with paid social media advertising and creative best practices for platforms (Facebook/IG, TikTok, YouTube, etc.). This helps in understanding the context of our projects.

Data-Driven Mindset: Comfortable with pulling and interpreting basic data (e.g. using Notion/Asana reports or Excel) to measure team output, capacity, or turnaround times for the purpose of improving processes.

Global Team Experience: Experience coordinating projects across multiple time zones or regions. Since we are remote-first, this experience can be very handy.

What Success Looks Like

Efficient Studio Operations: Within the first few months, our creative studios workflow runs like clockwork projects are kicking off on time, hand-offs between strategy, creative, and media teams are smooth, and deadlines are consistently met. Team members clearly know what process to follow at each step.

Happy, Informed Clients: Clients consistently feel well-informed and confident in our process. We see positive client feedback about communication and project management. No surprises clients know status updates, and deliverables meet or exceed expectations.

Robust Processes in Place: You have implemented at least two or three new operational processes (for example, a new intake form, a revised revision/feedback loop, a scheduling protocol) that have measurably improved our efficiency or reduced errors. These processes are documented in Notion and widely adopted by the team.

Strong Adherence: The creative team and stakeholders are adhering to the processes you've established. Over time, there are fewer last-minute scrambles or ad-hoc workarounds, because a clear path is in place for how work gets done.

Timings & remuneration:

Start date: ASAP.

Fulltime position. (Were flexible around employment forms depending on location - we can figure out what suits both sides best.)

Remote position (UK timezone)

Remuneration: £35,000 - £50,000 depending on experience and location.
