Role Introduction
The Manager – Logistics and Setup is responsible for leading the team that prepares rooms and venues across the precinct for upcoming events. This role ensures that all spaces are set up to specification, compliant with safety standards, and ready for use. The Manager also oversees event bump-in and bump-out, coordinating closely with Events Operations, other internal departments, and external hirers to deliver seamless transitions. Acting as both a leader and a strategic partner, the Manager drives efficiency, quality, and stakeholder satisfaction across all precinct logistics.
Key Responsibilities
Leadership & Team Management
- Supervise, schedule, and develop the precinct setup team, ensuring high performance and accountability.
- Provide coaching, training, and clear direction to staff, fostering a safe, efficient, and positive work culture.
- Monitor workloads and resource allocation to balance operational demands with staff wellbeing.
Event Setup & Breakdown
- Oversee the execution of room and venue setups, ensuring layouts meet event specifications and organizational standards.
- Manage bump-in and bump-out activities, coordinating with hirers, contractors, and Events Operations to ensure smooth transitions.
- Resolve logistical challenges quickly and effectively, minimising disruption to events.
Cross-Department & Stakeholder Coordination
- Act as the central liaison between Events Operations, Facilities, Security, Technical Services and hirers, ensuring alignment and clear communication.
- Build strong relationships with internal and external stakeholders, maintaining trust and credibility.
- Provide regular updates to leadership on operational readiness, challenges, and improvements.
Operational Excellence
- Develop and implement processes to improve efficiency, reduce costs, and enhance service delivery.
- Ensure compliance with safety, accessibility, and regulatory requirements across all setups.
- Conduct post-event reviews to capture lessons learned and drive continuous improvement.
Requirements
- Proven experience in event logistics, venue operations, or facilities management, with leadership responsibilities.
- Proficiency in MS Office (Access, Excel, Outlook, PowerPoint, Word).
- Strong interpersonal skills with the ability to work collaboratively across teams.
- Calm manner, able to work under pressure in rapidly changing demands and priorities.
- Good command of spoken and written English and Chinese;
- Flexibility to work evenings, weekends, and irregular hours as required.
