Fantastic opportunity for a Project Controls Administrator to join a reputable and client focused construction organisation in Dublin.

This role will work with clients and support the Project Manager and Project Controls Manager on projects. You will primarily be responsible for providing comprehensive support to clients and vendors, with a focus on vendor onboarding/offboarding, purchase order generation, and payment approvals.

The Role:

  • Support the Project Manager and Project Controls Manager on a variety of projects.
  • Coordinate the onboarding process for new vendors, ensuring all necessary documentation and information are collected and verified.
  • Work cross-functionally across the organisation and balance competing priorities.
  • Collaborate with internal teams to facilitate the offboarding process for vendors, ensuring smooth transitions.
  • Generate and manage purchase orders in accordance with established procedures.
  • Validate PO details and ensure accuracy.
  • Review and approve vendor invoices and expense claims, ensuring compliance with company policies.
  • Collaborate with the wider business to ensure timely and accurate payments to vendors.
  • Maintain positive relationships with vendors, addressing inquiries and resolving any issues promptly.
  • Act as a point of contact for vendor-related queries and concerns.
  • Maintain accurate records of vendor contracts, agreements, and communication.
  • Ensure all vendor-related documentation is properly organized and accessible.
  • Generate reports related to vendor performance, PO status, and payment approvals as required.
  • Analyse data to identify trends and suggest process improvements.
  • Utilise SAP software for various administrative tasks, including data entry and reporting.

The Person:

  • Bachelor's degree in accounting, business, procurement, or a related field is preferred.
  • 4+ years of relevant experience in vendor management, procurement, or a similar role.
  • Proficiency in SAP software is highly desirable.
  • Strong organizational skills with keen attention to detail.
  • Excellent communication and interpersonal abilities.
  • Proactive mindset with the ability to take initiative and solve problems independently.
  • Ability to work effectively both independently and as part of a team.
