The Marketing Coordinator provides operational, CRM, and analytics support across MedImpact Philippines and MedImpact International marketing initiatives.

This role focuses on data accuracy, reporting, and auditing while maintaining full readiness to take over marketing operations that are currently managed by an external agency. The expected transition timeline is within the next 2 to 5 years, but the role must be prepared to support or assume partial functions earlier if needed.

In the interim, the Marketing Coordinator will audit and monitor the external agency’s activities — particularly for HubSpot Marketing Hub and Content Hub — ensuring data integrity, performance visibility, and alignment with internal goals.

Working closely with the AMM, Multimedia Designer, and multiple departments, the role ensures that MedImpact’s internal marketing team remains fully capable, productive, and ready for full ownership when the transition occurs.

1. HubSpot Management (Audit + Transition Readiness)

  • ·Maintain deep working knowledge of HubSpot Marketing & Content modules and related integrations.
  • ·Audit and support:
    • Workflows & routing
    • Lifecycle stages & lead scoring (Lead → MQL → SAL → SQL)
    • Lists & segmentation
    • Campaigns & UTM governance
    • Attribution & dashboards
    • Ad + GA4 / GTM integrations
    • Hubspot/Salesforce syncs and data hygiene
    • Sales enablement assets (templates, sequences, playbooks)
  • Perform routine audits and reporting on external agency HubSpot and Content Hub activity to ensure alignment, accuracy, and readiness for internal takeover.
  • Maintain execution readiness for potential earlier transition or delegated support from the external marketing team.

 

2. Marketing Operations & Coordination

  • Coordinate marketing deliverables and communication across Sales, HR, Client Services/Operations, Finance, and IT.
  • Maintain ClickUp for campaign tracking, deadlines, and documentation.
  • Manage SharePoint for creative assets, decks, and internal marketing materials.
  • Support planning, coordination, and execution for major Cebu-based events and regional marketing initiatives.

 

3. Internal & External Marketing Oversight

  • Execute and support internal marketing campaigns (employer branding, internal comms, engagement).
  • Audit external marketing campaigns, validating data from the external agency against internal metrics (HubSpot, GA4, GSC).
  • Monitor and document performance of lead generation, automation, and content initiatives across platforms.
  • Support internal readiness for eventual in-house management of HubSpot and Content Hub and all outsourced to external marketing team.

 

4. Social Media Management (Interim)

  • When HubSpot execution is still handled by the external marketing team and internal workload is focused on audits and reporting, the Marketing Coordinator may assist with:
    • Scheduling posts using Buffer or Later (must be familiar or willing to be trained)
    • Responding to inbox inquiries and basic community moderation
    • Using Meta Business Suite for page management and performance checks

Disclaimer: This Social Media Management responsibility is temporary and only applies while the internal team remains lean and HubSpot execution continues under the external marketing team. Once the internal marketing organization expands, or once outsourced projects transition back in-house, this responsibility will be reassigned to a Social Media & Brand Specialist. This is to ensure that the Marketing Coordinator will not be idle while a lot of the work for the client facing brand is being outsourced to our partner marketing agency.

 

5. Email Marketing (Long-Term Readiness)

  • Assist in building and managing email campaigns using HubSpot, Mailchimp, or ActiveCampaign once in-house automation resumes.
  • Draft and prepare newsletters, internal announcements, and externalarketing email templates.
  • Track and document engagement metrics for future benchmarking.
  • Ensure all content aligns with brand guidelines and data privacy standards.

Disclaimer: Email marketing may not be rolled out until Q3 of 2026 depending on transition status from external marketing.

 

6. Analytics & Reporting

  • Manage and connect data from GTM, GA4, GSC, HubSpot, and Meta Business Portfolio.
  • Build, maintain, and audit KPI dashboards for campaign and marketing performance. Coordinate with Sales Operations Officer.
  • Validate external agency performance reports to ensure data accuracy and transparency.
  • Provide periodic reports to AMM summarizing marketing metrics, campaign results, and improvement recommendations.

 

7. Copywriting & Creative Collaboration

  • Support AMM in content and copywriting for newsletters, event recaps, or internal/external marketing materials.
  • Collaborate with the Creative & Social (Multimedia Designer) for SMM content and visuals when available capacity allows.
  • Draft, proofread, and format written materials to ensure clarity, tone, and consistency.

 

8. Procurement & Ad Hoc Support

  • Assist in Procurement Requisition (PR) processing and coordination with Finance and IT for tool subscriptions, vendor communications, and documentation.
  • Track PR/ progress via Oracle EBS and ensure timely routing for approvals.
  • Provide support in preparing decks, reports, and marketing collateral.
  • Handle any additional tasks assigned by the AMM or leadership to maintain continuous productivity and operational efficiency.
  • Bachelor’s degree in Marketing, Business Administration, Communications, or related field.
  • 2–4 years of experience in marketing coordination, operations, or CRM/analytics.
  • HubSpot or Salesforce (required expertise) — must demonstrate hands-on proficiency in the Marketing module: workflows, automation, segmentation, dashboards, UTM tracking, and reporting.
  • Familiarity with GA4, GSC, GTM, ClickUp, Zapier/Make, and Meta Business Portfolio.
  • Excellent analytical, organizational, and documentation skills.
  • Experience in data audits, KPI reporting, or content workflow management preferred.
  • Skilled in copywriting and proofreading for marketing content.
  • Proactive, flexible, and comfortable working across multiple departments.
  • Willing to travel to Cebu for major company events and cross-functional initiatives.
