The Human Resources Assistant supports multiple areas of the Human Resources function with primary responsibilities in supporting the Talent Acquisition and HR Operations Teams.

Overview of the Role: 5 Key Functions and Responsibilities:
1.US Leave of Absence Administration (FMLA & Protected Leaves)

  • Process US-based leave requests including FMLA, state-specific leaves, and company sponsored leave programs while ensuring regulatory compliance.
  • Track eligibility, required documentation, deadlines, and return-to-work timelines within established service level standards.
  • Maintain accurate, audit-ready case records in designated leave management systems.

2. Employee & Stakeholder Support

  • Serve as the first-line contact for employee leave inquiries via email and case management platforms.
  • Provide clear guidance on documentation requirements, timelines, and procedural next steps.
  • Coordinate with HR Business Partners, Payroll, and managers to ensure smooth leave processing and transitions.

3. Regulatory Compliance & Case Documentation

  • Adhere to strict federal and state protected leave regulations and internal compliance policies.
  • Monitor compliance timelines to ensure required notices and documentation are processed accurately and on time.
  • Maintain confidentiality and proper handling of sensitive employee information.

4. Systems & Technology Utilization

  • Utilize Applicant Tracking Systems (ATS), outsourced Leave Management platforms, and HRIS tools to manage leave cases.
  • Leverage Microsoft Office Suite (Outlook, Word, Excel) for case tracking, reporting, and communication.
  • Support documentation workflows and reporting dashboards; knowledge of Visio, PowerPoint, and Adobe Acrobat is an advantage.

5. Process Improvement & Operational Support

  • Assist in maintaining and updating Standard Operating Procedures (SOPs) for leave administration.
  • Identify opportunities to improve workflow efficiency and case processing accuracy.
  • Participate in team meetings to review performance metrics, compliance updates, and operational priorities.
  • BS/BA and 1+ years’ experience or equivalent combination of education and experience.

  • To perform this job successfully, an individual should have a working knowledge of Applicant Tracking Systems, online background screening systems or any combination of similar systems experience as well as strong competencies in Microsoft Office Suite (Outlook, Word, Excel). Knowledge of Visio, PowerPoint, and Adobe Acrobat is a plus.
