Role Overview 

The People Operations Specialist is responsible for executing day-to-day HR operational processes across the employee lifecycle, ensuring that all transactions, documentation, and requests are completed accurately, efficiently, and within defined service levels. 

This role supports the People Operations Lead in maintaining service delivery excellence, process consistency, and compliance, while working closely with HR Business Partners and other stakeholders. 

The role requires strong attention to detail, ability to manage volume, and commitment to delivering high-quality HR services.

  1. HR Service Delivery & Transaction Processing 

  • Execute HR operational processes, including:  

  • Employee movements (promotions, transfers, salary adjustments)  

  • Onboarding and offboarding processes  

  • Preparation and release of employee documents (COEs, EAAs, certifications)  

  • Payroll-related coordination (payroll adjustments, final pay processing)  

  • Ensure all transactions are completed accurately and within SLA timelines  

 

  1. Documentation & Process Support 

  • Provide administrative and documentation support across all HR operational processes  

  • Ensure completeness, accuracy, and proper filing of all HR documents, including employee movements, lifecycle transactions, and case-related records  

  • Maintain and update trackers, logs, and monitoring tools for HR transactions and activities  

  • Ensure all documentation adheres to established formats, standards, and procedural requirements  

  • Support HRBPs and the People Operations Lead in ensuring documentation readiness for audits and compliance checks 

 

  1. Data Management & Record Keeping 

  • Maintain and update employee records in HR systems  

  • Ensure accuracy, completeness, and confidentiality of employee data  

  • Support generation and consolidation of HR reports and trackers  

 

  1. Process Compliance & Quality Control 

  • Ensure adherence to HR processes, policies, and documentation standards  

  • Perform quality checks on transactions and records before submission or release  

  • Flag errors, inconsistencies, or risks to the People Operations Lead  

 

  1. Employee Lifecycle Support 

  • Support end-to-end lifecycle processes, including:  

  • Onboarding coordination  

  • Offboarding and clearance processing  

  • Document routing and approvals  

  • Ensure a smooth and consistent employee experience across transactions  

 

  1. Extended Workforce Support (Interns & Consultants) 

  • Assist in operational processes for:  

  • Internship programs (onboarding, tracking, offboarding)  

  • Consultant lifecycle (documentation, coordination, tracking)  

  • Ensure proper documentation and compliance for non-employee workforce  

 

  1. Stakeholder Coordination 

  • Coordinate with HRBPs, Total Rewards, Finance, and other teams for process requirements  

  • Communicate timelines, document requirements, and status updates  

  • Ensure timely follow-ups on pending items  

  • Attention to Detail & Accuracy: Ensures high-quality, error-free outputs in all transactions  

  • Execution & Time Management: Manages multiple tasks and deadlines effectively in a high-volume environment  

  • Process Discipline & Compliance Awareness: Follows established processes and ensures adherence to standards  

  • Coordination & Communication Skills: Communicates clearly and works effectively with multiple stakeholders  

  • Data Management & Organization: Maintains accurate records and structured tracking systems  

  • Problem-Solving & Initiative: Identifies issues and proactively raises concerns or solutions  

  • Accountability & Reliability: Takes ownership of assigned tasks and ensures completion 

  • At least 2 years of experience in HR, administrative support, or a related function. Fresh graduates with relevant internships or strong technical skills (e.g., Excel, reporting) are also encouraged to apply.
  • Advanced Microsoft Excel or Google Sheets (e.g., formulas, pivot tables, data organization, basic reporting)
  • HR data tracking, reporting, and maintaining accurate employee records and trackers
  • Basic data analysis to support insights on HR operations and service delivery
  • Philippine labor laws and compliance requirements, particularly in documentation and employee lifecycle processes
  • Audit and documentation standards, including preparation of records for internal or external audits
  • Exposure to HRIS or case management systems used for tracking employee requests and transactions
  • Process improvement initiatives, including participation in streamlining workflows or improving turnaround times
  • Cross-functional coordination with teams such as HRBPs, Total Rewards, and Finance
  • Handling confidential employee information with accuracy and discretion
