We are currently looking for a Project Management Professional – HRIS Project to support the successful implementation of our global Human Resources Information System (HRIS).
The Project Management Professional will be part of the Digital Solutions team under the supervision of the Head of Enterprise Applications and the Henka Programme Manager. The role will work closely with the Global HR team, Digital Solutions team, project workstream leads, business stakeholders, implementation partners, external vendors, and other project members to ensure effective planning, governance, communication, and execution throughout the HRIS implementation lifecycle.

Support the Global HRIS Project Manager in the day-to-day coordination and execution of the HRIS implementation.

Maintain and update the integrated project plan, ensuring timelines, milestones, dependencies, and deliverables are accurately tracked.

Coordinate project activities across HR, IT, business stakeholders, implementation partners, and external vendors to ensure alignment.

Organize and support project governance forums, including preparing agendas, materials, and documentation for project meetings, steering committees, and workstream sessions.

Capture meeting minutes, track action items, and proactively follow up with stakeholders to ensure timely completion.

Maintain and administer project governance tools and documentation, including RAIDQ logs, action trackers, decision logs, change request register, and status reports.

Consolidate updates from multiple workstreams and support the preparation of weekly status reports, dashboards, and executive presentations.

Monitor project progress against plan, identify deviations, and support escalation of risks, issues, and delays to the Project Manager.

Ensure consistency and quality of project reporting, documentation standards, and governance processes across all workstreams.

Support communication and stakeholder management activities, ensuring timely and structured information flow across the project.

Assist in coordinating change management and organizational readiness activities, including communication planning, training coordination, and stakeholder engagement.

Manage and maintain project repositories (e.g., SharePoint, Teams) to ensure proper documentation and version control.

Track key project KPIs and support reporting on project health, risks, and overall delivery status.

Provide general PMO support, including ad hoc analysis, preparation of materials, and continuous improvement of project management processes.

- Bachelor's degree in Business Administration, Information Technology, Human Resources, Project Management, or a related field.
- Minimum of 5–7 years of experience in project coordination or project management, preferably in HRIS, ERP, or enterprise digital transformation projects.
- Experience supporting end-to-end system implementation projects is highly desirable.
- Strong knowledge of project management methodologies, governance, and reporting practices.
- Experience maintaining project plans using Microsoft Project, Smartsheet, or similar planning tools.
- Advanced proficiency in Microsoft PowerPoint, Excel, Word, Teams, and SharePoint.
- Excellent organizational skills with strong attention to detail and the ability to manage multiple priorities simultaneously.
- Strong communication and stakeholder management skills with experience working in multicultural and geographically distributed teams.
- Ability to proactively follow up on actions, coordinate stakeholders, and drive project activities to completion.
- Familiarity with HR processes or HR systems (e.g., SuccessFactors, Workday, Oracle HCM, UKG, or similar HRIS platforms) is considered an advantage.
- Project Management certification (PMP, PRINCE2, CAPM, Agile, or equivalent) is an asset.
- Fluent in English, both written and verbal.
