The Accounts Payable Clerk assists in processing and filing invoices and payments. This role also includes handling incoming and outgoing mail and ensuring that all documents are routed correctly.

The AP Clerk will support the AP department by performing basic administrative tasks and processing accounts payable transactions.

The AP Clerk will follow internal procedures and policies under the supervision of the AP Manager.

  • Receive, sort, and distribute incoming mail related to accounts payable.
  • Prepare and send outgoing mail, including checks and correspondence to vendors.
  • Ensure timely and accurate delivery of all AP-related mail.
  • Assist in entering invoices into the accounting system, ensuring accurate data entry.
  • Match invoices to purchase orders and verify receipt of goods or services.
  • Help prepare invoices for approval and payment.
  • Assist in preparing checks and electronic payments for vendors.
  • Maintain organized files for all invoices, payments, and vendor information.
  • Assist in keeping digital and physical records up to date and easily accessible.
  • Ensure that all AP documents are filed correctly after processing.
  • Enter data into accounting systems, ensuring accuracy and completeness.
  • Provide general administrative support to the AP team.
  • Communicate with vendors and internal departments to resolve basic inquiries.
  • Assist in maintaining vendor contact information and W-9 forms.

 

  • Bachelor’s degree in accounting.
  • Knowledge of the Retail industry is preferred.
  • Working knowledge of Microsoft Office (i.e. Word, Excel, and Outlook).
  • Excellent computer skills using 10-Key by touch and ability to type 40 wpm.
  • Must proficiently communicate in English in oral and written format.
