The Talent Acquisition Sourcing Specialist provides structured administrative and operational support to the Talent Acquisition team by executing sourcing and job posting tasks using approved templates, messaging, and documented workflows. This role focuses on accurately formatting, posting, updating, and maintaining job advertisements, as well as conducting outbound sourcing and outreach tasks as directed. The position does not perform full-cycle recruiting, candidate screening, or independent decision making. Success is driven by high attention to detail, consistent application of standardized procedures, accuracy in documentation, and reliable task execution.

  • ESSENTIAL DUTIES AND RESPONSIBILITIES include the following (Other duties may be assigned):
  •  Execute outbound sourcing tasks using approved search criteria, templates, and prewritten outreach messaging supplied by the Talent Acquisition team.
  • Conduct candidate searches across approved job boards, professional databases, and online talent platforms in alignment with established sourcing parameters. 
  • Send candidate outreach messages using standardized templates and document outreach activity as required.
  • Track sourcing activity, outreach volume, and candidate engagement within the applicant tracking system (ATS) or designated tracking tools.
  • Escalate unclear instructions, discrepancies, or missing information to the appropriate recruiter or manager.
  • Format job descriptions using approved job posting templates to ensure consistent branding, structure, and compliance.
  • Proofread and validate job postings to ensure accuracy related to job title, location, pay type, job code, employment status, and requisition details.
  • Post, update, refresh, and remove job advertisements across approved job boards, career sites, and online platforms on a regular posting cycle.
  • Conduct quality control reviews prior to posting to ensure alignment with approved requisition information.
  • Maintain organized records of posting activity and ensure accurate data entry within internal systems.
  • Support recruiters with administrative tasks related to sourcing, tracking, requisition updates, posting maintenance, and documentation.
  • Follow standard operating procedures (SOPs), templates, checklists, and scripts for all tasks to ensure accuracy and compliance.
  •  Assist with basic reporting, such as posting status updates, sourcing activity summaries, and weekly volume metrics.
  • Maintain consistent, accurate records of completed work, pending requests, and required follow-up actions. 
  • Ensure all sourcing and posting activities comply with internal quality standards, branding requirements, and regulatory posting guidelines.
  • Flag incorrect job details, outdated templates, formatting issues, or compliance concerns for correction.
  • Communicate primarily through written channels such as email, chat, and task management systems, providing timely updates and responses.
  • Follow defined turnaround times for task completion and provide end-of-shift summaries outlining completed assignments and work in progress. 
  • MINIMUM EDUCATION/EXPERIENCE: • High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred. • Minimum 1–3 years of administrative, HR support, recruiting coordination, or operations support experience. • Experience supporting Talent Acquisition or HR teams preferred but not required. • Equivalent combination of education and experience may be considered. LICENSES/CERTIFICATIONS: • None required SKILLS AND ABILITIS: • Strong attention to detail with the ability to apply structured instructions, templates, and SOPs accurately. • Ability to perform repetitive administrative tasks with consistency and accuracy. • Strong written communication skills, including proofreading, formatting, and clear documentation. • Ability to manage multiple tasks, maintain organization, and prioritize workload to meet deadlines. • Proficiency with applicant tracking systems (ATS), job boards, and professional networking platforms. • Proficiency with Microsoft Office or Google Workspace applications. • Strong data entry and documentation accuracy. • Ability to maintain confidentiality and handle sensitive information professionally. • Dependability, reliability, and adherence to defined work schedules and expectations. • Ability to work effectively in a structured, process-driven environment with minimal ambiguity. • Customer service mindset with the ability to support internal stakeholders professionally.
