This role is primed for a highly organized and proactive individual who will support both executive functions and operational systems within the organization. The successful candidate will play a crucial role in managing executive inboxes and calendars, coordinating logistics, and ensuring smooth operational workflows, thereby enhancing the efficiency and effectiveness of the leadership team.

  • Manage and prioritize executive inboxes and calendars to ensure optimal allocation of time and resources.
  • Coordinate and prepare for meetings including logistics, creating briefs, and ensuring follow-up on action items.
  • Maintain cleanliness and organization of multiple systems such as Asana, CRM, and file management systems to ensure smooth operations.
  • Support various administrative tasks including reporting, recruitment processes, onboarding new hires, and managing internal workflows.
  • Assist in the development and maintenance of standard operating procedures with the aid of AI tools and under the guidance of the Chief of Staff.
  • Proactively identify operational inefficiencies and implement solutions promptly to prevent escalation.
  • Enhance communication within the executive team by supporting weekly routines and updating task boards and templates.
  • Manage and triage incoming requests through shared operational inboxes to streamline processes and improve response time.
  • Undertake additional duties and projects, providing operational, administrative, or strategic support as needed to adapt to the changing needs of the business and its leaders.
  • Proven experience in executive support, operations management, or a similar role.
  • Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
  • Excellent communication skills, both written and verbal, to effectively convey information and collaborate across teams.
  • High proficiency in office management systems and applications such as Asana, CRM, and other organizational tools.
  • Ability to handle confidential information with discretion and integrity.
  • Experience with AI tools for business process management and system optimization.
  • Capability to work independently and make informed decisions that reflect well on both the executive and operational aspects of the business.
  • Flexibility and adaptability to manage changing priorities and tasks as required.
  • Strong problem-solving skills and the initiative to implement effective solutions.
  • Experience in developing and maintaining standard operating procedures and streamlining workflows.
