The Administration Coordinator plays a key role in supporting Enviro Trees’ operations by managing reports, coordinating job data, and maintaining accurate customer and compliance records. This role works closely with consulting arborists, contractors, and internal teams to ensure client reports, job workflows, KPIs, and customer-facing documents are completed accurately and on time, while also providing administrative and customer care support as needed.

- Complete standard report templates required for submission to major customers. This requires gathering data from Enviro Trees software systems, as well as liaising with and gathering information from tree contractors and members of the Enviro management team.
- Work closely with the consulting arborists across the business in creating or fully completing client reports. These reports are based on information collected by Enviro Trees arborists and data collectors on customer sites, along with the recommendations and findings they make following these assessments. The role requires the use of several systems to pull together information for inclusion in some reports.
- Create and manage jobs using the Enviro Trees work management systems (e.g. Tree Manager, Fastfield, Tree Plotter, and Excel-based documents) and processes.
- Assist in the completion of tenders and other customer-facing documents.
- Updating customer portal sites with job-related information as jobs are accepted by Enviro Trees, from clients, and through the progression to completion.
- Undertake customer KPI surveys and update Tree Manager accordingly.
- Summarise and assess KPI results over an agreed period for review by the management team.
- Maintain registers of WH&S and quality audits conducted upon Enviro Trees' tree partners. Take ownership of these to ensure that actions arising from these audits are completed prior to due dates.
- Support the marketing initiatives across the business by gathering information that forms the basis of case studies to show case the business, and create into draft case studies and other marketing documents.
- Provide support to the customer care team as needed, including assisting with invoicing and other administrative tasks including support of compliance functions such as uploading documents and monitoring compliance status of tree partners.
- In major weather events, be able to support the customer care team by undertaking tasks as detailed in the Customer Care Operator Position Description. These include:
- Job creation
- Management of email inboxes
- Management of inbound phone calls from Tree Partners, Enviro Trees management team members, customers
- Outbound phone calls to Tree Partners, customers
- Fluent English speaker, strong written English
- Previous demonstrated experience in report (or similar) writing
- Ability to work under pressure
- Ability to use initiative
- Ability to work unsupervised
- Attention to detail
- Experienced in using technology platforms (Office suite of products etc)
- Willingness and ability (capacity) to learn the detail of the Enviro Trees business
- Ability to establish rapport with a varied group of stakeholders (Tree Partners, customers)
