Position: Property Manager – Office Buildings Portfolio

General Overview We are looking for a proactive and experienced Property Manager to oversee the operational, technical, and tenant-related activities of a portfolio of A-class office buildings located in Timișoara. The role focuses on ensuring efficient building operations, compliance with legal and internal requirements, and a high level of tenant satisfaction.

General Purpose of the Role To ensure the effective and efficient management of the assigned office buildings by coordinating all technical, operational, and tenant-facing activities. The Property Manager is responsible for maintaining optimal building performance, ensuring operational continuity, and aligning all activities with internal procedures and applicable legislation.

Key Responsibilities

  • Manage daily operational and technical activities for the assigned office buildings, ensuring compliance with legal requirements and internal procedures.
  • Supervise and coordinate external service providers, including facility management, cleaning, security, parking, and other related services.
  • Monitor the proper functioning of building systems such as BMS, fire safety systems, and access control, and oversee mandatory inspections and certifications (PRAM, gas, HVAC, CNCIR, etc.).
  • Prepare and implement annual maintenance plans and CAPEX project schedules; ensure proper documentation of all service interventions.
  • Manage contracts by monitoring validity and renewals, enforcing contractual clauses, and maintaining accurate records on internal platforms.
  • Prepare, manage, and monitor OPEX and CAPEX budgets; support budget planning, cost control, and periodic reporting.
  • Coordinate the preparation of utility re-invoicing lists and support annual service charge reconciliations with tenants.
  • Maintain constant communication with tenants, address operational issues, and supervise works carried out in tenant spaces and common areas.
  • Coordinate acquisitions in line with internal procedures and support the process of obtaining required permits and authorizations (ISU, utilities, etc.).
  • Ensure operational continuity of the buildings, including availability for emergency interventions outside regular working hours when required.

Requirements

  • Technical university degree (e.g., construction, installations, engineering or similar fields).
  • Minimum 5 years of experience in property or facility management, preferably with office buildings.
  • Relevant certifications in property and/or facility management (e.g., RICS, IFMA, ANEVAR, Project Management certification, etc.).
  • Good English language skills (written and spoken).
  • Strong organizational, analytical, and planning skills.
  • Excellent communication skills and ability to manage multiple stakeholders.
  • Hands-on, proactive attitude with a strong sense of responsibility and integrity.
  • Availability to respond in case of urgent building-related issues.
