We are seeking a highly organized, hands-on Medical Assistant / Working Supervisor to lead our Injectables & Skincare Division. This role requires both direct patient interaction and team leadership, ensuring compliance, efficiency, and a consistently high-quality patient experience. Our Medical Assistant / Working Supervisor is responsible for managing our Medical Assistant and Medical Receptionist staff as well as performing the Medical Assistant role in our high volume, fast-paced injectables clinic.

Key Responsibilities

Clinic Operations

  • Provide in-room support for injectable patients as needed
  • Direct Medical Assistants and Receptionists to optimize patient flow and satisfaction
  • Oversee consents, charting, post-injection calls, and compliance documentation
  • Ensure accurate scheduling, invoicing, and payment reconciliation
  • Maintain clinic readiness: room prep, opening/closing duties, cleanliness, and supply stocking
  • Monitor patient communications (calls, emails, reception) for accuracy and timeliness
  • Manage before-and-after photo process for accuracy and approved use

Staff Management

  • Recruit, train, and onboard new Medical Assistants and Receptionists
  • Conduct performance reviews, coaching sessions, and manage attendance
  • Partner with leadership on timesheets, payroll, performance plans, and promotions
  • Update and maintain training manuals and SOPs
  • Foster teamwork and accountability across the division

Inventory Management

  • Track and order injectables, skincare products, and medical supplies
  • Work with sales reps and accounting to ensure proper allocation and cost tracking

Provider Support

  • Manage injector/surgeon task lists: notes, consents, prescription releases, and photo reviews
  • Support Dr. Naz with workflow, task completion, and patient communications

Process & Strategy

  • Collaborate with Surgery Team Manager and aesthetic staff to improve workflow and resource use
  • Optimize use of practice management tools (Symplast EMR, RingCentral, etc.)
  • Recommend improvements to patient experience, cross-selling, and operational efficiency

Qualifications

  • Proven experience managing staff in a medical or aesthetic setting
  • Strong organizational, communication, and leadership skills
  • Ability to balance patient-facing responsibilities with team and operational management
  • Proficient computer (Microsoft) and EMR skills (Symplast EMR).
  • Strong communication, organizational, and multitasking abilities.
  • Outgoing, friendly, and professional personality.
  • Experience with Dermatology, Plastic Surgery, Medical Spa and Injectables (Galderma and Allergan filler and neurotoxins), preferred.
  • Ability to function efficiently in a high volume, fast-paced environment.
  • Experience with Square POS and Vectra Before & After Photography is a plus.
