1. Overview

The Administrative Specialist (Group Leader) is the senior representative of the Operational Support Office in Benghazi, responsible for managing daily operations across facilities, security, logistics, administration, technology support, andmost importantlythe complete management of the Benghazi Warehouse.

The role ensures full operational readiness, discipline, and compliance with company protocols while acting as the primary coordination point between Benghazi operations and Tripoli Head Office.

Working Hours: SaturdayThursday, 8 hours/day
Salary Range: 2,500 4,000 LYD

2. Key Responsibilities

A. Facilities & Security

  • Inspect office/warehouse daily; ensure utilities (electricity, AC, water, internet) are functioning.
  • Coordinate preventive and emergency maintenance.
  • Oversee CCTV, access control, and conduct safety/compliance checks.
  • Track IT/operational assets, maintain quarterly audits and asset logs, manage asset issuance/returns.

B. Logistics & Administrative Services

1. Warehouse & Logistics

  • Manage receiving, storage, organization, and dispatch of stock.
  • Update Zoho Inventory accurately (in/out/adjustments) and conduct cycle counts.
  • Maintain clean, safe warehouse operations and investigate variances.
  • Prepare delivery schedules, coordinate drivers/3PLs, oversee packaging, labels, DO/POD, and manage returns.
  • Ensure accurate cash handover to Treasury and maintain all related documents.

2. Administrative Operations

  • Manage office supplies, paperwork, filing systems, and local purchasing.
  • Support HR with attendance, onboarding/offboarding documentation.
  • Organize meetings, visitors, and hospitality; maintain office cleanliness and order.

C. Technology & Infrastructure

  • Act as IT coordination point; support basic troubleshooting and escalate to HQ.
  • Track IT assets and support device setup for staff.
  • Support rollout of digital systems (Zoho Books, Zoho Inventory, Odoo, Slack).
  • Train staff on digital tools and report system gaps/improvement needs.

3. Leadership Responsibilities

  • Lead warehouse assistants, drivers, cleaners, and admin staff.
  • Assign daily tasks, monitor performance, and ensure protocol compliance.
  • Serve as the main contact between Benghazi operations and HQ.
  • Submit weekly and monthly reports covering all operational areas.

4. Qualifications

  • Bachelors degree in Business, Operations, Supply Chain, IT, or related field.
  • 46 years experience in warehouse, logistics, or operations roles.
  • Experience supervising staff preferred.
  • Arabic required; English at intermediate level preferred.
