Administrator

 Job Description:

We are seeking a reliable and detail-oriented Administrator to support the smooth running of office and warehouse operations. The role requires proficiency in MS Office, basic knowledge of accounting software, and at least 2-3 years of experience in administration and accounts receivable. The ideal candidate will be organised, proactive, and capable of handling multiple tasks efficiently

KEY RESPONSIBILITIES

  • Telesales: Engage with clients and provide product or service information.
  • Order Processing: Generate and process customer and supplier orders.
  • Drafting of Quotes: Prepare accurate quotes for clients as required.
  • Stock Control: Monitor stock levels, assist with ordering through the Procurement Manager, and maintain accurate records.
  • Dispatch: Generate route sheets, check orders, and assist with loading vehicles when necessary.
  • Receiving of Stock/Credits: Handle incoming stock, verify deliveries, and process credit notes.
  • Accounts Receivable: Assist with invoicing, payments, and reconciling accounts.
  • Documentation: Scan and file all PODs, ensuring accurate record-keeping.
  • Reporting: Prepare basic reports as required.

REQUIREMENTS

  • Education: Matric (Grade 12) required; certificate/diploma in Administration, Accounting, or related field is a plus.
  • Experience: Minimum 2-3 years experience in administration and accounts receivable.
  • Systems:
    • Proficiency in MS Office (Word, Excel, Outlook)
    • Basic knowledge of accounting software
    • ERP system experience advantageous

    • Strong attention to detail and accuracy
    • Organised and able to prioritise tasks
    • Good numerical and communication skills
    • Ability to work independently and under pressure
