Our client, a leading company in their industry, is seeking a dedicated Executive Assistant (EA) to support their CEO. In this role, you will provide top-tier administrative support. Your responsibilities will involve managing schedules, coordinating meetings and travel plans, handling confidential information, and assisting with various administrative tasks to ensure the CEO's office operates efficiently. This position requires exceptional organizational skills, meticulous attention to detail, discretion, and the ability to work independently.

YOUR ROLE AS AN EXECUTIVE ASSISTANT WILL BE TO:

  • Act as the central point of contact for the CEO, handling email communication within designated authority levels.
  • Provide comprehensive administrative support, meticulously tracking and documenting all decisions and actions.
  • Efficiently manage the CEO's calendar, prioritizing appointments and coordinating meetings with internal and external stakeholders.
  • Organize meetings, including agenda preparation, minute-taking, and ensuring necessary resources are available.
  • Plan and coordinate domestic and international travel itineraries, resolving any travel-related issues promptly.
  • Oversee budgetary activities for the office, including submissions, reforecasts, and expense monitoring.
  • Collaborate with the communications team on CEO communication activities, from briefings to conference management.
  • Take charge of ad hoc projects and initiatives on behalf of the CEO as required.

THE PROFILE WE ARE LOOKING FOR:

  • Bachelor's Degree or College Diploma.
  • Ten (10) or more years of experience in an administrative support role.
  • Bilingual in French and English.
  • Written and verbal communication proficiency.
  • Proficiency in utilizing productivity tools like Microsoft Office (Word, Excel, PowerPoint, Outlook);
  • Capacity to work autonomously, take proactive measures, and anticipate the CEO's requirements.
  • Adaptability and flexibility to accommodate shifting priorities and demands.
  • Professional demeanour and adeptness in interacting with individuals across all organizational levels.
