Job Purpose

On behalf our Client, we are looking for a Logistics Officer who will be responsible for coordinating and overseeing day-to-day logistics operations to ensure the timely, accurate and cost-effective movement of coffee from the warehouse to export destinations. The role ensures compliance with local and international export standards, manages communication with key stakeholders, and supports smooth operations for both exports and imports.

Key Responsibilities

1. Logistics Coordination

Coordinate all logistics activities for coffee exports, including planning, scheduling, documentation, and execution.

Manage truck dispatch, cargo loading, and follow-up on movements from the warehouse to border points and final destinations.

Review shipping instructions and prepare special export arrangements as required.

Arrange timely booking with freight forwarders and shipping lines.

Ensure accurate preparation of export documentation in line with client and regulatory requirements.

Track shipment progress and provide regular updates to the General Manager and clients.

Coordinate delivery and clearance of import cargo where required.

2. Stakeholder Engagement

Act as the liaison with local authorities to ensure compliance with export processes and obtain necessary certifications.

Build and maintain strong relationships with freight forwarders, transporters, and shipping lines to secure efficient service and favorable terms.

3. Documentation & Compliance

Prepare and verify export documents including invoices, phytosanitary certificates, Bills of Lading, and export declarations.

Ensure all documentation is submitted on time to clients to facilitate clearance at destination.

Maintain compliance with local and international shipping regulations.

4. Inventory & Quality Coordination

Work closely with the warehouse team to manage inventory levels and prepare coffee for export.

Ensure alignment with client quality requirements before shipment.

5. Operational Efficiency

Identify and implement process improvements to enhance cost efficiency and operational accuracy.

Monitor logistics KPIs such as shipment timelines, transport costs, and cargo turnaround.

6. Issue Resolution & Risk Management

Proactively address delays, non-compliance issues, or cargo discrepancies.

Develop and support contingency plans to minimize logistics risks.

7. Communication & Reporting

Share timely updates with clients on shipment status, documentation, and contract movements.

Prepare periodic logistics reports for management, highlighting performance, gaps, and improvement areas.

Respond promptly to customer inquiries and direct them to the appropriate support channels.

Qualifications and Skills Required;

Diploma or Bachelors degree in Logistics, Supply Chain Management, Business Administration, or related field.

Minimum of 3 years experience in logistics or transportation coordination, preferably in the coffee or Agricultural sector.

Proficiency with ERP systems, logistics tools, and MS Excel.

Strong problem-solving ability, attention to detail and ability to work under pressure.

Excellent communication, teamwork and coordination skills.

High integrity, reliability, and ability to meet deadlines.
