Job Purpose:

The Recruitment Executive Trainee will support the recruitment function by executing sourcing strategies, coordinating interviews, maintaining candidate databases, and ensuring an excellent candidate and client experience. This entry-level role provides hands-on exposure to end-to-end recruitment processes, client engagement support, and administrative responsibilities. The role reports directly to the Recruitment & Business Operations Manager, who is the head of the business.

Key Responsibilities:

1. Recruitment Support

  • Assist in posting job advertisements on various platforms and managing applicant tracking systems (ATS).

  • Source and screen candidates through CV reviews, phone screenings, and initial interviews.

  • Schedule interviews and assessments in coordination with hiring managers and candidates.

  • Maintain and update the recruitment database and talent pipelines for ongoing and future hiring needs.

  • Support in conducting background checks and preparing candidate profiles for client presentation.

2. Client and Candidate Engagement

  • Maintain timely and professional communication with candidates and clients throughout the hiring process.

  • Provide candidates with feedback and next steps as guided by the Recruitment & Business Operations Manager.

  • Assist in preparing recruitment reports, trackers, and documentation for client submissions.

3. Process Improvement & Compliance

  • Ensure accurate documentation of all recruitment activities in line with internal policies and client requirements.

  • Contribute to maintaining compliance with employment laws and company recruitment standards.

  • Identify any issues or delays in the recruitment workflow and escalate appropriately.

4. Team Support & Learning

  • Participate in team meetings, brainstorming sessions, and training activities.

  • Support the recruitment, sales, and administrative teams with day-to-day operations as needed.

  • Take ownership of personal development by actively seeking feedback, training, and mentorship.

Experience, Skills, and Qualifications:

  • Bachelors degree or final-year student in Human Resource Management, Business Administration, Psychology, or a related field.

  • A strong interest in recruitment, staffing, and HR practices.

  • Excellent written and verbal communication skills.

  • High attention to detail and strong organizational skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Ability to work in a team-oriented environment with a proactive and positive attitude.

  • Strong work ethic, adaptability, and willingness to learn.

  • Previous internship or volunteer experience in HR/recruitment is an added advantage.
