As we expand our operations and client base, we seek to strengthen our internal support systems. We are looking for a proactive and detail-oriented Finance and Administration Assistant to support daily accounting functions and general administrative operations within the company.

Job Purpose

The Finance and Administration Assistant will be responsible for handling day-to-day financial and administrative tasks, ensuring accurate bookkeeping, timely reconciliations, and smooth office operations. This entry-level role is ideal for someone looking to grow a career in finance or office administration within a dynamic and professional environment.

Key Responsibilities

1. Finance Support (60%)

  • Prepare and issue client invoices, ensuring accurate and timely billing.
  • Monitor receivables and support the preparation of Statements of Account (SOAs) for clients.
  • Reconcile bank statements and petty cash transactions on a monthly basis.
  • Assist in tracking payments, managing payables, and coordinating payment schedules.
  • Support filing and submission of statutory taxes including PAYE, NSSF, VAT, and WHT.
  • Maintain accurate and up-to-date financial records in accordance with company policy.
  • Support preparation of financial reports and expense summaries.

2. Administrative Support (40%)

  • Manage day-to-day office administration tasks including filing, documentation, and correspondence.
  • Monitor and replenish office supplies, ensuring smooth operations.
  • Oversee petty cash management including disbursements, tracking, and reconciliation.
  • Schedule and coordinate office meetings, travel, and logistics.
  • Maintain organized and confidential personnel and administrative records.
  • Provide general clerical support including scanning, printing, and data entry.
  • Liaise with vendors and service providers for utility and supply coordination.

Key Qualifications & Experience

  • Bachelors degree or diploma in Accounting, Finance, Business Administration, or a related field.
  • 12 years of experience in a similar finance/admin support role (internships or volunteer roles may be considered).
  • Basic understanding of bookkeeping, reconciliations, and financial reporting.
  • Familiarity with Uganda Revenue Authority (URA) tax filing processes is an advantage.
  • Proficiency in MS Office (especially Excel); knowledge of accounting software is a plus.
  • Strong organizational and time-management skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Attention to detail and a high degree of accuracy.
