Job Purpose
The Stockist is responsible for managing all automotive parts and materials within the auto service center to ensure uninterrupted workshop operations. The role focuses on effective inventory control, timely procurement, accurate record-keeping, and efficient issuance of parts to technicians, minimizing downtime and supporting quality service delivery.
Key Responsibilities
Inventory Management
Maintain accurate records of all automotive parts, consumables, and materials.
Monitor stock levels and ensure minimum and maximum stock thresholds are maintained.
Conduct regular stock counts, reconcile variances, and update inventory records.
Track all receipts and issues of stock to ensure accountability.
Procurement & Supplier Coordination
Source quotations from approved suppliers and place purchase orders as required.
Follow up on deliveries to ensure timely receipt of parts.
Verify supplier invoices against delivery notes and purchase orders.
Handle returns, replacements, and warranty claims where applicable.
Stocking, Storage & Organization
Receive, inspect, label, and store spare parts and materials appropriately.
Organize the stockroom to ensure easy identification and access to parts.
Apply proper stock rotation practices (FIFO) to minimize obsolescence and damage.
Maintain cleanliness, order, and safety within the store area.
Issuing Parts & Workshop Support
Issue spare parts and materials to mechanics based on approved job cards or work orders.
Accurately record all issued items and ensure proper documentation.
Support service advisors and technicians with parts identification and availability checks.
Assist in preparing parts estimates for service and repair jobs.
Reporting & Records
Maintain up-to-date stock registers and inventory systems.
Prepare basic reports on stock levels, fast-moving items, slow-moving items, and shortages.
Highlight potential stock risks that may affect workshop operations.
Compliance & Controls
Ensure adherence to internal stock control procedures and company policies.
Safeguard stock against loss, misuse, or damage.
Support audits and inspections related to inventory management.
Qualifications and Skills Required
Certificate or Diploma in Stores Management, Procurement, Automotive Engineering, or a related field.
1–3 years experience in a similar role, preferably in an auto service or repair environment.
Good knowledge of automotive spare parts and terminology.
Experience using inventory records or basic stock management systems.
Strong organizational and record-keeping skills
Basic computer literacy (MS Excel or inventory software)
Attention to detail and accuracy
Ability to work independently and under minimal supervision
Good communication and teamwork skills
Integrity and accountability
