Job Purpose

The Receptionist is the first point of contact for customers at the auto service center and plays a key role in delivering a positive customer experience. The role involves welcoming customers, managing appointments, handling payments, providing administrative support, and acting as a communication link between customers, technicians, and service advisors to ensure smooth daily operations.

Key Responsibilities

Customer Service & Front Desk Operations

Welcome customers and visitors professionally and manage the reception and waiting area.

Respond to customer inquiries, provide basic service information, and address concerns courteously.

Ensure a friendly, organized, and professional front desk environment at all times.

Scheduling & Appointment Management

Book, confirm, and manage daily service and repair appointments.

Send appointment reminders and follow up with customers as required.

Coordinate schedules with service advisors and workshop teams to avoid delays.

Communication & Liaison

Answer and direct incoming phone calls and emails professionally.

Take accurate messages and relay customer needs to technicians and service advisors.

Act as a liaison between customers and workshop staff to ensure clear and timely communication.

Translate customer concerns into clear job or repair requests for the technical team.

Administrative & Financial Support

Handle customer check-ins and check-outs efficiently.

Process payments (cash, card, POS) and issue receipts accurately.

Perform data entry, filing, and record maintenance.

Manage incoming and outgoing correspondence and documents.

Operational Support

Assist service and sales teams with paperwork, system updates, and customer records.

Maintain adequate front office supplies (forms, stationery, refreshments).

Support general office operations as assigned by management.

Qualifications and Skills Required

Diploma in Business Administration, Office Management, Customer Service, or a related field.

1–3 years experience in a receptionist or customer-facing role, preferably in an auto service or workshop environment.

Experience handling cash, POS systems, and basic billing processes is an added advantage.

Excellent verbal and written communication skills

Strong interpersonal and customer service orientation

Ability to multitask and remain organized in a fast-paced environment

Basic computer proficiency (MS Office, scheduling or POS systems such as ADP)

Accuracy in cash handling and record-keeping

Friendly, professional, and dependable demeanor
