Transportation Manager

 Job Description:

Our client, a leading supplier and transporter of fuel and lubricants, is seeking a Transportation Manager who has worked their way up in the industry, someone who understands the day to day realities of transportation because they have lived it. The ideal candidate has a strong operational background, experience behind the wheel, and a proven ability to lead teams with confidence, humility, and hands on knowledge.

The individual is responsible for the strategic direction and leadership for all fleet logistics, which includes oversight of asset management, compliance, and dispatch. This role is to develop and implement cost effective asset management that will maximize performance within a commercially competitive environment. Working closely with the Chief Operating Officer, the core mandate of the Transportation Manager is to be responsible for the management of all fleet administration that supports profitability.

Key Responsibilities:

  • Contribute to shaping and guiding the overall strategic direction of transportation operations.
  • Design and implement innovative business strategies to streamline processes and enhance overall company performance.
  • Track departmental performance against established objectives and take corrective actions when necessary to ensure continuous progress.
  • Conduct regular meetings with department heads and leadership teams to address and resolve interdepartmental or branch-level issues.
  • Develop, track, and report on weekly and monthly key performance indicators (KPIs) to assess operational effectiveness.
  • Ensure staffing levels are optimized to meet the operational demands of the department.
  • Improve and implement policies, procedures, and systems aligned with departmental objectives.
  • Oversee financial performance to ensure departmental goals align with or surpass the established budget.
  • Analyze and report daily, monthly, and annual performance metrics, incorporating relevant industry trends.
  • Manage and resolve escalated customer inquiries and complaints promptly and professionally.
  • Accurately update work orders with relevant information to maintain transparency and support customer communication.
  • Utilize monthly Profit and Loss (P&L) statements to monitor expenses and proactively align services with financial targets.
  • Oversee fleet operations and coordinate vehicle management as needed.
  • Ensure equipment is utilized effectively and to its full potential.
  • Collaborate with the Health, Safety, and Environment (HSE) team on safety initiatives and compliance projects.
  • Monitor supply usage, address inefficiencies, and respond to inappropriate use.
  • Order and maintain adequate inventory of necessary supplies.
  • Participate in and contribute to safety meetings with drivers, dispatchers, and operations teams, and communicate key outcomes.
  • Follow up on unresolved issues to ensure timely and appropriate solutions are implemented.
  • Act as a support resource for drivers by sharing practical insights and industry experience.
  • Prepare accurate and timely reports on all workplace injuries and Workers Compensation Board (WCB) incidents.
  • Liaise with management and Human Resources on safety matters and recommend necessary corrective actions.
  • Provide mentorship to drivers on CVSA (Commercial Vehicle Safety Alliance) standards and offer dispatch support as needed.
  • Maintain up-to-date records for drivers and vehicles in accordance with regulations.
  • Coordinate and schedule vehicle repairs and routine maintenance.
  • Ensure drivers and equipment comply with the National Safety Code and provincial transportation regulations across Alberta, BC, Saskatchewan, and Yukon.
  • Ensure Alberta fleet vehicles meet CVIP (Commercial Vehicle Inspection Program) and VKIP (Vehicle Inspection Program) standards.
  • Develop operational practices and standard procedures to support transport functions.
  • Review all transport-related vendor invoices prior to submission for accounts payable approval.
  • Perform additional duties as assigned to support departmental goals and company success.

Key Responsibilities:

  • Over 5 years of experience in a senior management or leadership role.
  • Minimum of 3 years of industry experience in transportation, logistics, or oil and gas.
  • A post-secondary degree in Business Management or a related field is preferred.
  • Experience in transportation and/or oil and gas and fuel experience.
  • Holds a Class 1 driver's license  
  • Proven experience working with major fuel providers is essential.
  • Proven dispatch experience.
  • Proficient in Microsoft Office Suite, including advanced knowledge of Word, Excel, PowerPoint, and email communication.
  • Management and supervisory experience is required.
  • Strong mechanical understanding and ability to collaborate effectively with the maintenance team. 
  • Excellent people skills with the ability to build trust and lead teams effectively. 
  • Resourceful and adaptable, capable of making sound decisions in dynamic environments. 
  • Organized, structured, and able to manage competing priorities. 
  • Self motivated and able to work independently while maintaining team alignment. 
  • Willingness to work overtime and outside of regular business hours as needed.
  • Ability to travel to various job sites/branches and customer locations as required.

Work Environment & Physical Demands:

  • This role involves a combination of office and limited field-based work. Occasional attendance at active job sites may be required to address operational needs.
  • The position requires regular use of hands and fingers to handle or operate tools, equipment, and other objects, as well as frequent reaching with hands and arms.
  • Employees may be exposed to typical worksite conditions including noise, dust, odors, fumes, and oils.
  • The role frequently involves standing, speaking, and actively listening as part of daily responsibilities.
