Project Coordinator

Role Responsibilities:

  • Work closely with engineers, project managers, subcontractors and field staff to ensure smooth execution of mechanical projects.

  • Assist in developing, maintaining, and monitoring project schedules; experience with scheduling tools is considered an asset.

  • Gather project costs, monitor expenditures, and review budgets against progress to keep projects on track financially.

  • Provide regular updates on projects and flag variances early.

  • Lead or support planning sessions, coordinate subcontractor schedules, and help remove roadblocks to keep projects on track.

  • Support planning for shop drawings, materials, and equipment deliveries to align with project milestones.

  • Generate look-ahead schedules, progress updates, and reports for internal teams and clients; track crew productivity and installation rates.

  • Assist in creating, tracking, and maintaining RFIs, CCNs, submittals, and site instructions. Ensure all project requirements are documented and communicated, following up as required with clients and subcontractors.

  • Set up, troubleshoot, and maintain company computers and tablets as needed, ensuring teams are equipped with the tools they need to work efficiently.

  • Leverage AI-powered tools to improve scheduling, reporting, cost tracking, and communication. 

  • Identify opportunities to bring in new AI solutions that increase efficiency and move the company forward.

  • Support Lean Construction initiatives, benchmark performance, and identify opportunities for efficiency

  • Prioritize cost-effective and sustainable solutions, ensuring projects are completed on time, within budget, and to the highest standards.

Role Requirements:

  • Proven work history as a mechanical and/or industrial Project Coordinator; 5+ years experience would be considered an asset

  • High-level proficiency with computers and tablets; able to leverage digital tools for project efficiency.

  • A diploma or degree in Mechanical Engineering or relevant program is considered an asset.

  • LEED certification, Gold Seal, or Project Management Professional (PMP) designation is an asset.

  • Experience and being versed in Google Suites is required.

  • Ability to maintain good working relationships with personnel of other departments.

  • Ability to communicate clearly and concisely in writing and orally.

  • Previous experience in Bluebeam, Revizto, Procore, AutoCAD, Revit and Navisworks is considered an asset

  • Excellent problem-solving skills with a focus on innovation and efficiency.

  • Ability to adapt and thrive in a fast-paced, evolving environment.

  • Strong communication and interpersonal skills with a collaborative mindset.
