Currently, we are looking for an Administrative & Office Assistant for full-time employment in our office in Madrid.

Responsibilities:
HR Administration & Payroll Support
- Manage and maintain HR documentation and personnel administration processes, ensuring accuracy and compliance.
- Prepare and coordinate HR inputs for payroll in close collaboration with the external payroll provider.
- Manage administrative processes related to employment contracts, work permits, and employee documentation.
- Oversee time tracking, HR systems, and employee data synchronization
- Administer employee benefits, including meal vouchers and related platforms.
- Ensure accurate records management and HR administrative support for the Madrid office.
Office Administration & Operations
- Manage the daily operations of the Madrid office and ensure smooth administrative functioning.
- Efficiently manage and facilitate office administrative processes and internal procedures.
- Maintain communication with external legal and administrative agencies regarding outsourced processes.
- Manage office supplies and services (fruit, snacks, coffee, water) and handle team requests related to office matters.
- Assist in planning, executing, and monitoring initiatives aimed at improving office efficiency and employee experience.
- Contribute to maintaining a positive, organized, and welcoming office environment for employees and visitors.
Coordination & Employee Engagement
- Maintain effective communication with leadership at the main office and support the implementation of company-wide initiatives locally.
- Manage and coordinate company events, employee engagement initiatives, and team activities, including budget management, vendor coordination, internal communications, and logistics.
- Support the management of daily operations and team-related administrative matters, helping resolve operational questions.
Requirements:
Administrative skills
- Minimum 1-2 years of experience managing administrative and office processes.
- Experience handling HR documentation and personnel administration tasks.
- Familiarity with payroll processes and coordination with payroll providers is a strong advantage.
- Ability to manage multiple administrative processes efficiently and accurately.
Communication & interpersonal skills
- High level of Spanish and English, both written and spoken.
- Strong communication and coordination skills.
- People-oriented mindset with strong teamwork capabilities.
- Strong organizational and decision-making abilities.
- Proactive attitude with the ability to manage tasks independently and solve problems effectively.
