Property Level Accounting
- Post monthly management fees and asset management fees if applicable.
- Post loan payments, escrow withdrawals, and lender-required reserves (where handled by management).
- Record property tax bills and insurance premiums or accruals.
- Allocate shared costs across properties or cost centers (shared staff, marketing, etc).
- Track and post capital expenditures separately from operating expenses.
Bank and Cash Management
- Match imported bank transactions (AppFolio Bank Activity) with our check registers and clear items daily or weekly.
- Reconcile bank accounts monthly for all entities.
- Record bank fees, interest income, and credit card processing fees.
Reconciliations and Reporting
- Run monthly property financials (profit and loss, balance sheet, rent roll) for ownership.
- Assist with year-end workpapers, vendor review for 1099s, and CPA / tax-preparer requests.
- Review reconciliations prepared by AR/AP for consistency with the general ledger.
Maintenance Billing and Reimbursements
- Review maintenance and repair invoices and determine which costs are billable to tenants versus ownership.
- Provide guidance to AR/AP on maintenance bill-backs and coding for tenant reimbursements.
- Track and post management company fee reimbursements (payroll allocations, benefits, shared overhead) to each property.
- Reconcile intercompany balances between management entities and ownership entities related to management fees and reimbursements.
- Process monthly credit card reimbursement entries, including coding corporate card charges to the correct property, unit, GL account, and job/class.
- Reconcile credit card statements to the general ledger and clear any discrepancies.
Partnership Distributions
- Maintain partner distribution schedules and capital account balances by entity.
- Keep track of tenant improvement (TI) costs by project and entity for depreciation scheduling and CAM reconciliation support.
- Calculate distributable cash based on operating results, loan covenants, and ownership guidelines.
- Prepare and record journal entries for partner distributions, returns of capital, and capital contributions.
- Coordinate timing and amounts of distribution wires with ownership and banking.
- Provide periodic partner statements summarizing contributions, distributions, and capital account activity.
