Job Summary
We are seeking a proactive and highly organised Care Coordinator to join our fast-paced UK office. In this role, you'll be responsible for coordinating temporary care staff across various healthcare settings, ensuring client needs are met quickly and effectively. You'll act as the key link between our care workers, clients (such as hospitals and nursing homes), and internal teams.
This is a vital role where attention to detail, great communication, and the ability to juggle multiple priorities are key.
Key Responsibilities
Scheduling & Shift Coordination
- Match available carers/support workers to open client shifts based on location, skills, and availability.
- Ensure all shifts are filled in a timely manner and confirmed with both staff and clients.
- Maintain accurate shift logs and system updates in real time.
Candidate & Worker Support
- Build strong relationships with care staff, ensuring regular communication and support.
- Monitor and manage staff availability, performance, and punctuality.
- Act as a point of contact for any worker concerns during placements.
Client Communication
- Liaise with clients (e.g., hospitals, care homes) to understand staffing needs and respond promptly to shift requests.
- Provide consistent, professional communication to maintain strong service relationships.
- Handle client feedback and escalate any issues appropriately.
Compliance Support
- Work closely with the Compliance and Recruitment teams to ensure that only fully vetted staff are placed.
- Flag expired training, DBS checks, or documentation and assist in keeping records up to date.
Operational & Administrative Support
- Maintain system accuracy and reporting for shift coverage, cancellations, or changes.
- Participate in the on-call rota as required (if applicable).
- Support team members in other operational tasks as needed.
Requirements
- Previous experience in care coordination, rota planning, or recruitment (healthcare sector preferred).
- Excellent verbal and written communication skills.
- Strong organisational and multitasking abilities in a deadline-driven environment.
- Confident using scheduling systems, databases, or CRM/ATS platforms.
- Team player with a proactive, solution-focused mindset.
- Knowledge of CQC standards and care sector regulations.
