Job Title: Clerk
Responsible to: The Master, Wardens, Committees and Court
Responsible for: Day-to-day management and performance of the Company
Coordinates the business of the Company and the work of its committees
Direct Line management of the Beadle and Assistant Clerk,
Liaison with: Professional and other advisors and contacts to the Company.
THE CLERK'S ROLE & RESPONSIBILITIES
THE ROLE
The role of the Clerk is varied. The Clerk provides continuity year-on-year within the Company, working with a new Master appointed annually. Each Master has ambitions of what they wish to achieve in their year. A key role of the Clerk is that of realising the Master's ambitions whilst safeguarding the values and mission of the Company.
The Clerk is responsible for the day-to-day administration of the Company on behalf of the Court, with responsibility for delivering the Company's formal events and maintaining the key interface with the Members. The Clerk reports to the Master.
The Clerk has a ceremonial role at the Company's formal functions. There is the expectation that the Clerk supports and accompanies the Master to selected daytime and evening civic and livery events throughout the year and is an important representative of the Company.
RESPONSIBILITIES
In summary the responsibilities of the Clerk are:
Membership
- We currently have 380 active members and aim to grow The Clerk's role is vital to engage with existing members and to ensure ready access to City and Company activities and events.
- The Clerk underpins the delivery of the membership recruitment and retention strategy by actively using our website, social media and CRM system, to manage internal and external communications with current and prospective members, as well as creating effective and targeted communications.
- The Clerk facilitates induction, mentoring and engagement programmes for new and existing members.
Communications, Events, Representation
- The Clerk is a key point of contact for all external and internal communications and the public presentation of the Company to the City and other organisations.
- The Clerk will work with the Communications Committee to coordinate the Company's online presence.
- The Clerk is the Company's conduit in its relationships with the wider Livery community, the Corporation of London, The City Livery Committee, the Guildhall and Mansion House, and the Fellowship of Clerks.
- To accompany the Master to relevant events and to provide guidance on matters relating to ceremonials.
- To be proficient in delivering first-class, well-organised, financially sustainable events, both formal and informal, liaising with the Beadle, caterers and others where necessary and ensuring all ceremonial functions and duties are maintained and carried out.
- To maintain good communications with the Membership, the Court and external stakeholders.
- To act as the Company's spokesperson in conjunction with the Master and to maintain, develop and protect the Company's reputation within the City and beyond.
- To maintain good relations with the Company's affiliations with military educators and cadets.
Administration, Governance and Compliance
To undertake efficiently the day-to-day management and administration of the Company.
To be practised at strategic planning and implementation.
- To use, develop and manage the Company Website effectively.
To assist the Master in maintaining, organising and prioritising their diary.
To maintain an up-to-date record of all Members ensuring Data Protection compliance.
To be responsible for event planning and delivery.
- To organise and prepare agendas, minutes, papers, and follow-ups for meetings of the Court, Finance & Operations Committee, and General Meetings.
- To oversee the management and support of Company committees, liaising with committee chairs and secretaries
- To ensure compliance with the Company's Charter, Ordinances, and By-laws, as well as all relevant legal, financial, and regulatory requirements.
- To maintain registers of members, officers, and other statutory documents.
- To support The Educators' Trust when requested.
Strategic Development
- To support the Court in developing and implementing strategic plans, including succession and talent management.
- To monitor external trends, challenges, and opportunities relevant to Livery and the City of London.
- To promote the Company to the wider community, enhancing its reputation and visibility.
- To contribute to the development of digital platforms, branding, and outreach activities.
Finance
- To oversee the finances of the Company
- To participate in the preparation of annual budgets, management accounts, and financial reporting.
- To monitor income, expenditure, investments, and charitable funds.
- To liaise with the Accountant and Treasurer to administer payment, procurement, and contracts.
