Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Email management, once trust is established
    • Includes deleting junk and spam and unsubscribing, reviewing prior days emails for any missed or responses in draft

  • Scheduling meetings and calendar management, including confirming site visits and meetings with clients and prospects

  • Including learning geolocations of the Los Angeles area

  • Answer phones

  • Report writing

  • Interfacing with staff members and clients

  • Updating CRM (HubSpot)

  • Attending meetings virtually and taking notes

  • Collections, following up on clients with past due balance (client will train)

  • Updating internal reports and SOPs

  • Assisting with projects as directed

  • Assisting with travel

  • Assisting with marketing and social media tasks, ability to write blogs is a nice to have



Key Qualifications:

  • 3 years of work experience including 1-2 years assisting an executive/owner in the US

  • Computer/online savvy. Ability to use a variety of online applications including: Zoom, Google Suite and Office 365 tools (including Outlook).

  • Intermediate skill for PC using google apps, Microsoft Office (Excel, Word, Power Point), and email tools.

  • Strong Written and Oral English + interpersonal skills to communicate effectively

  • Ability to problem solve

  • Fast learner (i.e., quick pick up)

  • Strong attention to detail / highly organized

  • Committed to growth and learning

  • Experience with Accounting/Bookkeeping is a nice to have

  • Reliable, and proven track record to work night shift in Philippines



Shift / Hours:

Monday Friday in one single shift, 9:00 AM PST - 6:00 PM PST. Note this is +15 or +16 Philippine time, which will be 12:00 AM PHT 9:00 AM in PHT during DST or 1:00 AM PHT 10:00 AM in PHT outside of DST.
