About the job Senior HR Operations Officer
Job Purpose
The Senior HR Operations Officer plays a key role in ensuring smooth, compliant, and employee-centric HR operations and HR administration. This position is responsible for maintaining accuracy, transparency, and efficiency in HR systems and processes that directly support the companys strategic objectives.
As a potential future HR leader, the Senior HR Operations Officer is expected to proactively identify process gaps, recommend system enhancements, and drive HR-related organization-wide improvements through reliable data insights, employees feedback, and continuously learning on what works in reality.
Key Responsibilities
1. HR Operations
- Maintain and update the organizational chart and accountabilities directory, ensuring clarity in reporting lines and accountability and speak up to propose changes when needed.
- Drive data-driven workforce planning, providing actionable insights that align with the companys strategic direction.
- Manage and update the Job Description system, ensuring alignment with company goals and decision-making authority.
- Coordinate with the Management Committee in succession planning, ensuring key positions have identified successors and development plans.
- Ensure the workability and accuracy of HR data, systems, and reports. Develop and maintain HR dashboards and reports (e.g., retention, tenure, headcount) to support management insights.
2. HR Administration
- Ensure all HR practices and labor-related documents fully comply with Vietnams labor regulations. Oversee and execute HR contracts and consulting agreements within approved budgets, ensuring timely negotiation and documentation.
- Deliver seamless onboarding and offboarding logistics experiences, ensuring all logistics, documentation, and system access are handled efficiently.
- Maintain an up-to-date employee database, with complete employment records.
- Manage and process HR-related payments in accordance with approved procedures.
- Continuously improve HR processes through automation (AI adoption), data accuracy, and system enhancements.
3. Other Projects
- Support and implement special HR initiatives or projects assigned by the Team Leader aimed at improving HR effectiveness and organizational performance.
Job Criteria
Track record:
- Minimum 5 years of proven experience in HR Operations and HR Administration (as described above).
- Minimum 2-year experience in independently managing labour contracts and HR compliance system with solid understanding of Vietnam labor laws and HR compliance practices.
- Minimum 1-year experience in generating HR report/dashboard effectively, enabling management to take actions to improve business performance.
