I. Key Objective
As Executive Assistant, you play a strategic role in enhancing top executives' effectiveness by optimizing their schedules and time. You ensure they focus on high-impact activities aligned with company goals, becoming a vital contributor to business success.
II. Key Responsibilities
- Calendar Management & Time Optimization
- Organize calendars of Partners/Directors to prioritize high-value activities and KPIs.
- Understand and apply each executive's principles and priorities using tools like Trello.
- Proactively question and clarify any uncertainties to ensure schedule alignment.
- Arrange logistics (travel, meetings, participants, materials) with precision.
- Track post-meeting actions and ensure timely follow-up.
- Support VDI Framework Implementation
- Ensure key conversations between Value Creation Teams and Investees are scheduled and completed.
- Monitor dashboards, flag missing interactions, and coordinate directly with Investee stakeholders.
- Drive accountability by initiating resolution when off-track.
- Efficiency Optimization
- Continuously identify ways to improve workflows and automate manual tasks.
- Contribute to a culture of operational excellence and time maximization.
- Other Duties
- Perform additional tasks as assigned by the Line Manager or Efficiency Team.
III. Key Requirements
- 5+ years as Executive/Project Assistant to assist for BODs/CEOs.
- Fluent English (4 skills)
- Expertise in Microsoft Outlook Calendar; organized, detail-oriented, and systems-driven.
- Experience managing priorities on tools like Trello.
- Skilled in logistics, stakeholder coordination, and executive support.
- Strong communication, data handling, and follow-up capabilities.
- Open, coachable, detail-loving, disciplined, and comfortable with routine and desk-based work.
- Resilient to feedback, action-oriented, and growth-minded.
