Position Overview

To ensure the effective, compliant, standardized, and cost-efficient operation of General Affairs services and workplace facilities across multiple company branches, covering office services, building and lease administration, workplace improvement, furniture and equipment replacement, asset scrapping and waste management, and corporate vehicle administration.

Key Responsibilities

1. Security & Cleaning Services

  • Coordinate and monitor outsourced security and cleaning services across assigned branches.
  • Ensure security and cleaning services comply with agreed SLA, scope of work, service standards, manpower requirements, and operating procedures.
  • Monitor vendor attendance, manpower deployment, service quality, and discipline.

2. Vehicle Management

  • Coordinate vehicle allocation for delivery and general service activities.
  • Monitor courier and ensure delivery requests are properly documented and traceable.
  • Ensure proper handover documentation for transferred assets and materials.
  • Maintain a database of company vehicles under assigned responsibility.
  • Monitor annual vehicle registration/tax renewal deadlines and ensure renewal is completed before expiry.

3. Lease Agreement Administration

  • Monitor office lease agreements across assigned branches.
  • Proactively identify upcoming lease expirations and initiate renewal processes.
    Coordinate new office lease requirements with Facilities Manager, Legal, Finance, Procurement, and relevant business units

4. Vendor Agreement Management

  • Coordinate operational agreements for facility-related vendors.
  • Monitor contract validity and expiry.
  • Monitor SLA and vendor performance.
  • Coordinate vendor evaluation and corrective action.

5. Office Relayout

  • Coordinate office relayout and identify opportunities for optimization.
  • Ensure workplace layouts comply with company standards and basic safety/ergonomic requirements.
  • Coordinate implementation with contractors and vendors.
  • Manage requests for replacement or procurement of office furniture
  • Validate the necessity and condition of replacement requests.
  • Ensure specifications comply with company standards.

6. Scrap & Waste Management

  • Coordinate the end-to-end operational process for scrapping/disposal of obsolete or damaged GA assets and ensure appropriate approval before disposal
  • Coordinate branch-level waste management

Requirements : 

  • Bachelors degree in Management.
  • 5-7 years of experience in general affairs, facility management, building management for multiple sites.
  • Experience working with outsourced vendors and contractors.
  • Experience in office renovation/relayout is preferred.
  • Experience in asset disposal and waste management is preferred.

Additional requirements

  • Willing and able to travel regularly to branches across Indonesia.
  • Comfortable working with branches in different cities and provinces.
  • Strong administrative and documentation discipline.
  • Good Excel/data management skills.
  • Able to manage multiple priorities and geographically dispersed stakeholders.
