Key Responsibilities
- Leasing Contract Management. Manage end-to-end administration of all land and building leasing contracts, including intercompany agreements, from drafting, review, negotiation support, execution, to contract closure. Ensure all contracts are properly structured, documented, and aligned with company policies.
- Contract Documentation & Filing System. Establish and maintain a well-organized, centralized repository (physical and digital) for all property contracts and legal documents. Ensure version control, proper filing, and easy retrieval for audit and operational needs.
- Intercompany Lease Coordination. Coordinate closely with internal stakeholders across business units to manage intercompany leasing arrangements, ensuring terms are clearly defined, documented, and compliant with internal governance and transfer pricing policies.
- Legal Compliance & Regulatory Assurance. Ensure all land and property-related documents comply with prevailing laws and regulations. Continuously monitor regulatory changes and proactively update contracts or documentation to remain compliant.
- Notary & Legal Liaison. Act as the main point of contact with notaries for the preparation and processing of land deeds (akta tanah), lease agreements, and other legal documents. Ensure timely completion and accuracy of all notarized documents.
- Land & Property Legality Verification. Verify the completeness and validity of all land ownership documents, certificates, permits, and supporting legal documentation. Ensure there are no legal discrepancies, disputes, or compliance gaps.
- Contract Monitoring & Renewal Management. Track contract validity periods, critical dates, and renewal timelines. Initiate renewal or termination processes in advance, ensuring no lapse in agreements that may impact business operations.
- Risk Identification & Mitigation. Identify potential legal, contractual, or compliance risks related to property and leasing agreements. Provide recommendations and coordinate with legal teams to mitigate risks effectively.
- Due Diligence Support. Support land and property-related due diligence processes by preparing, reviewing, and validating all required legal and contractual documents for internal or external transactions.
- Audit & Compliance Support. Prepare and provide complete documentation for internal and external audits. Ensure all property-related records are audit-ready and compliant with company and regulatory standards.
- Cross-functional Coordination. Collaborate with Legal, Finance, Tax, Operations, and Business Units to ensure alignment of leasing contracts with operational needs, financial considerations, and corporate strategies.
Qualifications:
- Bachelor's degree in Law.
- Minimum 5 years of experience in property, legal or contract management
- Strong understanding of land regulations, property law and leasing agreements
- Experience working with notaries and legal documentation for land
