Job Overview
The Admin Planner Staff is responsible for supporting maintenance planning and administrative activities by ensuring accurate data entry, effective document management, schedule coordination, and work order processing. This role plays a key part in ensuring maintenance operations are well-documented, well-coordinated, and aligned with company standards across all branches.
Job Responsibilities
1. Data Entry & Accuracy

Input maintenance data into the Computerized Maintenance Management System (CMMS) or other relevant systems accurately.

Update maintenance databases and spreadsheets on a regular basis.

Review maintenance documents to ensure accuracy, completeness, and compliance with maintenance standards.

Handle incoming phone calls and emails related to maintenance requests.

Prepare and distribute maintenance reports as required.
2. Document Management

Receive, log, and distribute maintenance-related documents, including maintenance manuals, repair procedures, and spare parts lists.

Manage and maintain maintenance records such as work orders, maintenance schedules, and equipment history.

Ensure proper document version control and systematic archiving.

Prepare and distribute revisions of maintenance administration documents.

Collect and verify the completeness of repair and maintenance documentation for units across all branches.

Provide administrative support to maintenance technicians and supervisors.

Assist with maintenance-related projects as needed.
3. Schedule Creation

Assist in creating and updating maintenance schedules based on equipment requirements and operational priorities.
4. Reporting

Prepare, verify, and distribute maintenance reports on a periodic or ad-hoc basis.
5. Support

Provide administrative support to maintenance planners and technicians.

Promote a culture of integrity, accuracy, and continuous learning within the maintenance team.
Job Requirements

Minimum education Bachelors degree (S1) in Administration, Industrial Engineering, Mechanical Engineering, or a related field.

Minimum 1–2 years of experience in maintenance administration, planner administration, or a similar role.
Strong proficiency in Microsoft Excel, Word, and other administrative systems.

Strong administrative, documentation, and data management skills.

High attention to detail, accuracy, and organizational skills.

Good communication and coordination skills across departments.

Ability to work independently as well as collaboratively within a team.

Demonstrates high integrity and a strong willingness to learn and develop continuously.
