Our client is a leading global consulting firm, helping the world's top businesses, governments and organizations. Looking for a new "RfP Senior Specialist - KSA" covering Middle East region.
This position will be reporting to Head of Clients and Markets (C&M)
C&M Partner in charge, C&M Manager and RfP Portal Manager
Primary duties and responsibilities
Lead and manage the RfP response process acting as the first point of contact to partners and providing tendering related support services while ensuring compliance with deadlines and
requirements:
- Scan public RFPs and RFIs on hourly basis based on certain criteria
- Coordinate and follow up with partners to ensure decisions to bid are made in timely manner
- Prepare responses to general company qualification requests such as submission of legal documents
- Collaborate with partners and engagement teams to understand client needs and develop a comprehensive strategy for each RfP
- Receive all partners service requests about opportunities and RFPs, such as clarification questions submission, bid submission extension, opportunity update about cancellation, extension, or awarding, clients responses to requests
- Apply sound judgment when faced with new situations and seek stakeholders input as necessary in order to get all the information needed to make sound decisions
- Coordinate with Logistics Support and Finance and other relevant functions for buying RFPs, packaging hard copies of proposals and delivery to clients
- Proactively monitor opportunities due dates, clarifications due date, pre-bidding meetings due dates, submission due dates and awarding updates due dates
- Read RFP submission requirements, including pricing table / BoQ table requirements and summarize key RfP information and milestones, then disseminate to the targeted audience
- Follow up on outstanding partners requests and outstanding reminders to partners for pending decisions
- Provide leave/vacation coverage for portal manager by properly understanding the process of RfPs
- procurement/download as well as the process for proposals submissions (including proposals printing, packaging, and delivery)
- Support the engagement team in the company registration process
- Support the various practices in completing the required documentation and forms for company registration
- Collaborate with the internal teams such as BOMs, legal, finance, HR to complete and submit necessary documents
- Provide guidance and support to clients and engagement teams throughout the registration process, answering any queries and addressing concerns
- Support the C&M team in driving insights, continuously improve the RfP process, incorporating best practices and lessons
- Support in building automated dashboard to enhance reporting, analyze RfP portals/Etimad data and generate insights to senior management
- Contribute to the continuous improvement of the RfP process, including identifying areas of efficiency, automation and standardization
- Maintain a strong understanding of Strategy& services, industry trends, and competitive landscape to effectively position the firm in RfP responses
- Support post-RfP activities, such as debrief sessions, analysis and statistics on RfP portals and RfP flow to provide the management with insightful insights
- Collaborate with RfP portal owners and account drivers in PwC as needed
- Maintain and build strong client relationships
- Identify and report any submission challenges, propose and implement improvement in alignment with the C&M manager
- Raise awareness to the client teams around the process to ensure RfP announced by their clients are posted on the relevant RfP portal (Etimad, Ariba)
- Touch base regularly with C&M and BOM teams, maintain strong relationships with KSA office manager, logistics team, etc...
- Leverage the current RfP process in Etimad and extend its implementation to other portals and various geographical locations by customizing it according to clients requirements
Knowledge, skills, and abilities
Qualifications:
- Bachelors degree in business or economics
- 5 years+ of relevant experience in RfP, proposal management, business development or a similar role within a consulting or professional services environment
Skills:
- Excellent verbal and written communication skills with the ability to effectively articulate complex ideas
- Strong organizational skills and attention to details to handle effectively multiple priorities and meet tight deadlines
- Ability to work independently in a fast-paced and an unstructured environment
- Ability to work collaboratively across teams and build relationships with stakeholders at all levels
