Our client is a leading global consulting firm, helping the world's top businesses, governments and organizations. Looking for a new "Career Development and Staffing Associate Manager" in their Beirut office.

This position reports to the Head of Career Development & Staffing

Primary duties and responsibilities

Capacity

  • Maintain tracking of project pipeline through weekly reporting and daily interaction with Partners, Principles, and Managers
  • Closely monitor capacity and alert MD of alarming activity or unexpected leakage to warrant continued transparent and fair approach
  • Monitor staffing data versus time allocated on projects to highlight leakage for reversal Manage / approve holidays of unstaffed general pool staff

Resource Management:

  • Manage cross regional staffing for opportunities unable to be filled within the region. Likewise, attend weekly EMEA calls with counterparts from Europe, SEA, and neighbouring regions for weekly status review on capacity
  • Attend performance appraisal committees, and coordinate closely with the Performance
  • Management Team to maintain up-to-date on career progression and development needs related to client staff
  • Guarantee committee recommendations be taken into account during staffing decision; if unable to implement committee recommendation, document the reasons hindering this for later reference
  • Collaborate with Recruiting Team and OIC in the allocation of Summer Interns and Summer Senior Associate for project allocation
  • Ensure full integration of new hires by proactively securing most suitable projects (team structure, length, content, etc...); proactively escalate to senior stakeholders to ensure finding suitable solutions if staffing got derailed

Reporting:

  • Oversee the consolidation and extraction of weekly staffing reports for quality, accuracy, and timely submission (master staffing sheet, backlog, vacation leakage, newsletter, ME Capacity, IFF, etc...)
  • Ensure production and timely distribution of other adhoc reports as requested by senior management and other requesting audiences
  • Handle complex and large set of data to perform analysis and extract appropriate insights for staffing decisions
  • Maintain accurate and updates repository of all staffing information on the Shared Drive

Process:

  • Execute a centralized staffing process to maximize resource utilization and increase transparency
  • Coordinate with Business Operation Teams and Practice Leads to gather and fulfil open needs, both billable and unbillable
  • Uphold consistent and constant implementation of staffing guidelines with every decision, taking into account the four pillars of staff deployment (Preferences, Development Priorities, Skills, Project Requirements)


Capability:

  • Position self as a subject matter expert on broad range of Staffing questions and taking the lead to reply to Seniors and cross functional queries
  • Act as a key resource and liaison to other functional areas of the business, building productive cross-functional relationships

Team Management:

  • Coach and lead the staffing coordinator in line with department objectives
  • Ensure proper distribution of tasks within the team to optimize the resource allocation and management
  • Manage the career progression, development, and training of staffing coordinator to fulfil business and personal development needs

Knowledge, skills, and abilities

Qualifications:

  • University Degree
  • Computer proficiency (Excel, PowerPoint, G-suite)
  • Works well under pressure
  • Excellent Interpersonal, Organizational and Communication Skills
  • Presentable, approachable and diplomatic
  • Exercise sound judgment, objectivity, while maintaining highest level of confidentiality
  • Empathetic towards staff needs and preferences
  • Ability to make decisions in an efficient and timely manner
  • Prioritize workload in a highly dynamic environment
  • 6+ years experience (preferable similar role)
