Digital HR Operations

Update routine employee data into Workday, Active Report, and internal trackers, including changes related to marital status, cost centres, job updates, and transfers.

Prepare EIB templates and assist with bulk data uploads under the direction of the Systems team.

Support on ad-hoc reporting requirements

Document Collection & Employee File Management

Collect onboarding documents such as tenancy contracts, insurance forms, and identification.

Maintain version control and track missing or incomplete documentation via Enboarder files, follow-up and compliance.

Insurance & Allowances Processing

Collect and process insurance forms for enrolments and deletions.

Update allowance trackers with marital status changes that affect housing, schooling, or ticket eligibility.

Process updates related to tenancy contracts, and allowance adjustments due to promotions or marital status changes, under the supervision of the Payroll & Benefits Coordinator.

Update bank details on systems/databases

Letters Preparation

Prepare and issue all standard employment letters, including salary certificates, visa letters, bank letters, and government-related documents.

Liaise with the Payroll & Benefits Coordinator for salary-sensitive letters and with Legal for exceptional cases.

Operational Excellence & Administrative Support

Maintain and update employee mailing lists, categorized by cohort and base office and escalate issues to the relevant IT team.

Coordinate the issuance of digital business cards and manage the printing process with vendors.

Provide general and ad-hoc administrative assistance to support the smooth operation of payroll, systems, and documentation flows within the ER team.

Knowledge, skills and abilities

Qualifications

University Degree, HR experience/specialization a plus

Proficient in English and Arabic
