Job Summary:
The Facilities Specialist is responsible for supporting the daily operations, maintenance, and safety compliance of government or organizational facilities. This role ensures that facilities are safe, functional, and efficiently managed by coordinating maintenance services, monitoring building systems, and assisting with long-term planning and improvement projects. The Facilities Specialist serves as a key liaison between staff, contractors, and vendors to maintain operational excellence and facility readiness.

Key Responsibilities:

  • Oversee day-to-day facility operations, including building systems, utilities, and maintenance services.

  • Coordinate and manage maintenance requests, work orders, and vendor services to ensure timely resolution of facility issues.

  • Conduct routine inspections of facilities to identify repair needs, safety hazards, or operational inefficiencies.

  • Monitor and ensure compliance with building codes, safety regulations, and organizational standards.

  • Assist in planning and implementing facility projects, renovations, and space utilization strategies.

  • Maintain accurate maintenance logs, service records, and reports for facility operations and audits.

  • Collaborate with contractors, vendors, and maintenance teams to schedule work, ensure quality, and manage project timelines.

  • Support preventive maintenance programs to extend the lifecycle of facility systems and infrastructure.

  • Respond promptly to facility emergencies or urgent operational issues to minimize disruption.

  • Assist management in budget planning and resource allocation for facility operations and improvement initiatives.

  • Stay updated on industry best practices, safety standards, and emerging technologies in facilities management.

Qualifications:

  • Proven experience in facilities management, building operations, or a related field.

  • Knowledge of building maintenance systems, HVAC, electrical, plumbing, and safety compliance standards.

  • Strong coordination, problem-solving, and project management skills.

  • Ability to work effectively with contractors, vendors, and internal teams.

  • Excellent organizational and communication skills, with attention to detail.

  • Ability to prioritize tasks and manage multiple responsibilities in a dynamic environment.

  • Proficiency with maintenance management software or building management systems is a plus.

  • Understanding of safety protocols, regulatory requirements, and best practices in facility management.
