Job Summary:
The Administrative Aide plays a critical role in ensuring the smooth operation of management and departmental activities by providing comprehensive administrative and logistical support. This position requires a proactive, detail-oriented professional who can manage multiple priorities, maintain confidentiality, and assist leadership in executing strategic initiatives. The Administrative Aide serves as a key liaison among staff, clients, and external partners, ensuring efficient communication and workflow across the organization.

Key Responsibilities:

  • Prepare, edit, and format reports, presentations, correspondence, and other official documents for management and operational staff.

  • Coordinate and schedule meetings, conferences, and travel arrangements, including logistics for on-site and virtual events.

  • Maintain and organize administrative records, files, and databases to ensure accuracy and easy retrieval.

  • Assist leadership with special projects, research assignments, and operational initiatives, providing timely updates and actionable recommendations.

  • Facilitate effective communication between departments, staff, and external stakeholders to support organizational objectives.

  • Track deadlines, follow up on pending tasks, and ensure administrative processes comply with organizational standards.

  • Support ad hoc administrative needs, including drafting memos, managing office supplies, and assisting with onboarding new staff as needed.

Qualifications:

  • Prior experience in administrative, executive support, or office management roles.

  • Exceptional organizational skills with the ability to manage multiple priorities and meet deadlines.

  • Strong written and verbal communication skills.

  • Proficiency with office productivity software, including word processing, spreadsheets, presentation tools, and email/calendar management systems.
