As a Facilities and Administrative Associate, you will:
- Manage the processing and monitoring of all tickets submitted to the Facilities department to ensure timely resolution.
- Maintain accurate data by updating trackers and performing comprehensive asset management.
- Oversee the tracking, inventory, and procurement of monthly facilities supplies.
- Execute the recording, filing, and safekeeping of all critical Facilities Team documentation.
- Administer financial requests, including payment processing, liquidations, cash advances, and reimbursements.
- Generate detailed monthly facilities reports to provide operational insights to management.
- Coordinate administrative access by processing gate passes and work permit requests.
- Supervise site vendors, including housekeeping and security personnel, to maintain site standards.
- Monitor the cleanliness and orderliness of the site to ensure a safe and professional environment.
- Perform specialized tasks such as site layouts and other duties as assigned by the Facilities Site Lead.
Non-negotiables
- Bachelor's degree in any related course.
- 6 months to 1 year of experience in facilities, office administration, or a similar role.
- Willingness to learn and adapt to various facilities management tasks.
- Strong attention to detail for the recording, filing, and safekeeping of documents.
- Proficiency in basic financial tasks such as processing payments, liquidations, and reimbursements.
Preferred skills/expertise
- Previous experience supervising housekeeping or security guard personnel.
- Ability to use design software or tools for making site layouts.
- Advanced proficiency in MS Office (Excel, Word) for tracking and monthly reporting.
- Experience in asset management and inventory control.
- Familiarity with processing work permits and gate pass requests.
