Your Role
As a Property Management Assistant, you are responsible for:
- Prepare Legal Documents: Draft and prepare various legal documents, including but not limited to Lease Agreements, Notices of Rent Increase, Disclosure Forms, Pet Consent Forms, Managing Authority Agreements, and Owners' Instruction Forms.
Process Applications: Handle all aspects of application processing, including reference checks, bond lodgement, and other related tasks.
Manage Compliance Records: Maintain and update compliance records, ensuring they meet all legal and regulatory requirements.
- Manage Marketing: Oversee property marketing, including updating Open for Inspection (OFI) schedules, taking and editing photographs, and preparing marketing content.
Manage Inspections: Schedule property inspections and manage associated reports, ensuring they are completed in a timely manner.
Invoice Management: Enter or approve invoices as required, including handling requests for payment extensions.
Manage Listings and Reports: Oversee new listings and lost management records, ensuring they are accurately recorded and reported.
Reporting: Provide necessary reports to support operational and management needs, ensuring accuracy, clarity, and timeliness.
Administrative Support: Provide general administrative assistance to various teams, ensuring smooth and efficient operations.
Document Creation and Data Entry: Use software to create documents, enter data, and handle correspondence as required.
Task Flexibility: Willingly take on additional tasks to support leasing and property management operations as needed.
Phone Call Support: Handle phone calls and provide support as assigned.
Staff Coverage: Act as a backup for team members during their absence or busy periods, ensuring continuity of operations.
General Support: Provide support across various teams and tasks as needed, contributing to the overall efficiency of operations
- Ad-hoc Administrative Duties: Perform a variety of ad-hoc administrative tasks, such as data entry, document management, and other office support functions.
Qualifications and Experience:
At least 1 year of experience in an administration role or as a virtual assistant.
Excellent Written and Verbal communication skills.
Someone with experience using any CRM.
Good at taking instructions and speaking up if they don't understand.
Team player and hardworking.
Ability to adapt to new software and administrative tasks effectively.
Able to achieve deadlines and show good attention to detail.
Can handle corrections and have self-responsibility.
Able to manage time and prioritize workload according to business requirements.
