Your Role:
As a Purchasing Officer, you will:

  • Supplier Onboarding & Prequalification: Manage new supplier setups and prequalification workflows; gather compliance data, run external verification checks, and upload vendor data.
  • Master Data & Vendor Governance: Update supplier master files for ABN or bank changes, maintain the central parts catalogue, and enforce insurance holds for non-compliant vendors.
  • Purchase Order Administration: Issue, distribute, and track purchase orders; source competitive quotes for purchases up to AUD 10,000; execute goods receipting in the ERP.
  • Credit Applications & Contract Tracking: Coordinate vendor credit applications for executive approval and track contract ex-piries to ensure active agreements are updated in the contract database.
  • Vendor Base Optimization: Conduct bi-annual reviews of the supplier base to identify vendor consolidation opportunities and negotiate improved payment terms.
  • Procurement Reporting & Process Support: Generate routine operational reports (unapproved POs, unreceipted goods), maintain shared procurement mailboxes, and update internal purchasing procedures.


What You Need:
Non-negotiables

  • Procurement Administration Experience: Minimum 3 years of hands-on experience in procurement, purchasing, or supply chain administration.
  • Supplier Onboarding & Verification: Practical understanding of vendor prequalification, bank verification frameworks, and vendor master data governance.
  • Purchase Order Lifecycle Management: Demonstrated capability in quote sourcing, PO creation, goods receipting, and contract record maintenance.
  • Data Accuracy & Audit Control: High attention to detail in verifying legal business details, insurance certificates, pricing matrices, and catalog updates.
  • Stakeholder & Vendor Communication: Strong written and verbal communication skills to coordinate between internal departments and external suppliers.


Preferred skills/expertise

  • Prior experience utilizing Pronto Xi ERP or Eftsure vendor verification software.
    • Background in industrial, fuel, gas, manufacturing, or distribution procurement environments.
    • Intermediate to advanced MS Excel skills for tracking PO aging, open commitments, and contract renewals.
    • Familiarity with contractor management platforms and basic commercial credit application processes.
