Your Role:

As a Purchasing Officer, you will:

  • Coordinate with vehicle dealerships to confirm order acceptance and ensure all technical specifications are captured.
  • Manage weekly delivery confirmation reports, updating date changes in the Miles system and notifying customers and sales teams of any delays.
  • Facilitate third-party vehicle fit-outs and interstate transport by managing all required paperwork, registration forms, and invoices.
  • Resolve delivery issues, such as early registrations or address changes, to ensure a seamless handover to the customer.
  • Process high volumes of automated task reports and internal incidents daily to maintain workflow efficiency.
  • Communicate with the Accounts Payable team to ensure supplier payment requests are handled accurately and on time.
  • Assist the broader In-life Services team with ad-hoc tasks and project-based initiatives as priorities shift.


What You Need:

Non-negotiables

  • Fleet or Automotive Experience: Prior experience in fleet management or direct communication with automotive dealerships.
  • Document Processing Proficiency: At least 1 year of experience in a professional administration or customer service role involving heavy document management.
  • Analytical Accuracy: A keen eye for detail with the ability to process large workloads while maintaining high data quality.
  • Communication Skills: Excellent oral and written skills to manage supplier relationships and provide clear updates to customers.
  • Time Management: Proven ability to plan and coordinate tasks against strict delivery deadlines and under high-pressure conditions.


Preferred skills/expertise

  • Knowledge of state-specific vehicle registration requirements and third-party supplier management.
  • Advanced analytical qualifications or experience in a data-heavy "workload management" environment.
  • Experience using the Miles fleet management system or similar industry-specific software.
  • Demonstrated ability to identify process gaps and assist in project-based efficiency improvements.
  • Strong "Customer First" mindset with a focus on producing quality outcomes for the business and its clients.
