Position Summary

The Transition Specialist position sits in Optus Enterprise Business (EB) Delivery division and reports to the Associate Director, Enterprise Service Management. Responsible for governance and coordination of scheduled projects and transition activities to transition customers into/out of Digital TAC support and Managed Services.

Key Accountabilities / KPIs

  • Transition schedule tracking and management.
  • Delivery of assigned transition accountabilities with projects that require delivery to OE nationally, including:
  • Planning.
  • Scheduling.
  • Task Management.
  • Monitoring
  • Maintenance/Licensing
  • Communication Management
  • Billing
  • Risk and Issue Management
  • Application of transition governance.
  • Commissioning of transition deliverables.
  • ORK management for Vendor related management
  • Transition completion review.
  • Coordinate Enterprise Business work groups/Subject Matter Experts that are key to the successful delivery of the transitions and projects.
  • Internal project governance with appropriate decision-making forums and customer communications.
  • Attend informational sessions provided by suppliers and clients.
  • Manage a personal timesheet, within guidelines and timeframes.
  • Ensure compliance with Quality and Project Management Systems.
  • Manage any change to transition scope, and schedule, to maintain Enterprise Business and customer satisfaction.
  • Ensure authorized change requests for all significant changes.
  • Provide updated schedules and deliverables if required.
  • Implementation of a maintenance program to ensure compliance to Transition Management Methodology.
  • Input/ Review for improved processes, procedures and templates, and continuous improvement strategies.
  • Expected revenue turn-on as per SOW
  • Contribute to operational effort by reducing rework and minimizing the time spent by Optus staff in transition projects.
  • Realization of once-off revenue.
  • Realization of annuity revenue.
  • Ensure that all process documentation and work instructions are up to date and readily available to the Transitions Team in Service Now Knowledge
  • Attending BRT sessions
  • Reviewing and updating Transition Work Instructions with Management Team on a yearly basis
  • Develop and maintain high quality documentation
  • Transitions assist with new product development for Transitions in and Out procedures for each product.
  • Walkthrough with Team to ensure a consistent approach.
  • New business pipeline spreadsheet to track growth and transitioning activities.

Major Challenges

  • Supporting a cross-functional team in a matrix environment and effectively communicating and coordinating with team members to ensure timely delivery of outcomes.
  • Managing the Project to Production Plan with many interdependencies amongst the parties.
  • Providing support to project managers with varying levels of experience on multiple current and future projects.
  • Working in a complex and rapidly changing business environment.
  • Continually meet tight deadlines to meet business requirements.
  • Work instructions quickly outdated
  • Transitioning new products without proper CAP-DEV and training
  • Setting priorities among competing projects.
  • Proactively address escalations, project delays, and capability issues to deliver the right business outcome.
  • Challenge Optus established processes, knowledge and behaviors when ineffective or inappropriate to maximize the outcome for Optus and the customer.
  • Contribute to the maintenance and control of transitions to enable early identification and communication of risks and emerging issues.
